We're a ranch and family office in the Phoenix area looking for a full-time bookkeeper to keep our books accurate and up to date in QuickBooks Online. You'll start as our hands-on bookkeeper. Over time, you'll help us hand routine work to AI tools and bots, so your time shifts from data entry to clean reporting and better decisions.The role is remote to start. Once we find office space, most likely in North Scottsdale, it will move in-office.The RoleRun daily bookkeeping across ranch and family-office accounts: AP, AR, expense coding, and bank and credit-card reconciliations.Maintain bank feeds, rules, classes, and locations, and a clean chart of accounts that separates ranch and family-office activity.Close the month on time, delivering a P&L, balance sheet, cash position, and short variance notes.Manage receipts, vendor bills, and payroll-related tracking, working with our CPA.Keep invoices, statements, and supporting documents organized and easy to find.Spot repetitive work (recurring bills, categorization, report building) and automate it with QuickBooks rules, apps, and AI tools.Write down how things are done so a teammate or a bot can repeat them.Success in Year OneAccounts reconciled every week, and month-end close done within 10 days of month-end.Fewer manual entries each quarter as rules, feeds, and automations take over the repetitive work.Reports the family trusts for ongoing operations and strategic financial planning.Minimum Experience3+ years of hands-on bookkeeping in QuickBooks Online (Desktop experience is fine if you're fluent in Online).Curiosity about AI and automation tools like ChatGPT, Claude, Zapier, or QuickBooks apps.
