Job Description
<p> A KEY RESPONSIBILTY AREAS </p> To liaison with Academic Department,students and DCPD Trainers about DCPD schemes, curriculum, resource sharing, trainer allocation, timetable, staffroom arrangement, study material distribution & Assessment. To maintain Master Student Data and accordingly handle the concerns of the Debarred Students. Schedule the meetings with the TPP CRs to understand their concerns (if any) and prepare the Action Taken Report and Meeting Minute. To take disciplinary actions against the trainers in case of any non-adherence to the policy/rules/code of Conduct. To prepare the duty charts for the training sessions – Mock PI/Inter-Branch GDs, evening remedial sessions, special workshops, etc, and be vigilant to handle subsequent changes and updations as and when required. To take feedback on the effectiveness of training, trainers, and content from students and take action on the concerned trainer in case of dissatisfaction. To create requirement of trainers (every semester), the Trainer Sharing Matrix and Time Table as per the given number of trainers, students, group size, and applicable weekly hours required for making the timetable of the regular sessions. To create and provide high quality Soft Skills & Aptitude content by preparing year/branch wise syllabus, lecture plans, detailed course files with PPTs/Videos/ Reference material. To create error free and plagiarism free new English tests of grammar as well as Aptitude with detailed answer keys and explanations along with regular audit and enrichment of the available repository of all Tests on CUIMS and I-assess. To prepare and provide the surprise tests, assignments for the ongoing semester to the MSCs of Soft Skills & Aptitude To create and update the CUIMS as well as I-assess test master summary, Books summary, MPP summary, PI questions summary & GD topics summary. To create questions/speech for students/alumni to participate in major DCPD/University events like CAB, Peer Mentoring Session, AMCAT Analysis, Pre-Placement Talk, Rendezvous with Alumni, etc. To maintain a seamless flow of information across all the channels & regularly/timely reply to all emails from various stake holders. To audit assessment parameters of Soft Skills activities along with detailed rubrics. To proof read and thoroughly vet DCPD- Soft Skills and Aptitude Books (Soft Copy) at the DCPD Typist’s Desk well before each semester/winning camp and inform students in case the corrections are found after printing. To audit the assessment record maintained by the Soft Skills & Aptitude Team and prepare analysis on the same To keep a track of the Soft Skills & Aptitude course coverage through Google Sheet Link & take necessary actions in case of non-compliance. To ensure timely quality creation of monthly magazine of DCPD. To ensure timely submission of Internal and External Rewards of Soft Skills & Aptitude to COE through academic departments. To train a team of ELPD & Aptitude trainers on content to be delivered in various course codes and ensure quality delivery of Soft Skills/Aptitude content by trainers through regular quality checks of Soft Skills/ Aptitude sessions by visiting the classes and taking necessary actions as per the SOP To train and audit Master Subject Coordinators on content creation and quality assurance. To train students for various Soft Skills & Aptitude Contests/events To organize and conduct Train the Trainer/Knowledge Sharing Programs for trainers. To ensure that the New joiner is given all six types of DCPD training which includes KRA training, Budy training, IT tools training by master Budy, Course file training by MSC, Induction by reporting manager & ancillary offering training by DQAC. <p> JOB SPECIFICATION -REQUIRED SKILLS </p> To utilize the man hours of the day in achieving the best possible outcomes of the given tasks To extend the working as and when required for the Departmental work depending on the urgency of the tasks or task assigned by the reporting manager. To achieve allthe tasks as per KRA and SOP within the time lines provided by the reporting authority. To take the ownership of your own tasks and coordination which are linked with your KRA. Ability to manage team of 150+ trainers, make schedules/time tables/duty charts/ seating plans, and manager training logistics/infra efficiently. To be able to take any strict action/Decision in an unbiased manner as and when Needed. Drive initiatives for continuous process improvement and standard operating procedures (SOPs). To be courageous enough to take disciplinary actions on the team members on the pendency in tasks & also guiding them in the right direction. Support budget planning and resource allocation to meet operational goals <p> ELIGIBILITY CRITERIA </p> Qualification Preferably MBA Minimum 15 years of experience in soft skills or aptitude training, with at least 2 years in a leadership role. Language Must be proficient in speaking, reading and writing English. To have thorough knowledge of Gmail, Google Sheets, Excel Sheets, Google Forms, Google Docs & Google Drive to be able to effectively utilize the same for day-to- day operations Proficiency in data analysis tools such as Power BI/Advance Excel and quality management systems (QMS) To be able to make professional, corporate Power Point Presentations with comprehensive data analysis drafting Notices and making error-free excel sheets for duty charts/analysis etc. To be a proactive LMS user to review online attendance reports of team on university portal or deliver online sessions as & when required Proficient in operations software, ERP systems, and Microsoft Office Suite To be aware about the functioning of UIMS, Learning Management Systems (LMS) and e Learning development systems, tools and Resources To send professional coherent emails and proactively check important emails To have a strong memory to be able to remember the rules, regulations, policies, received emails and the details about the hierarchies within and outside the Department. To take action against any non-adherence to University/Departmental rules and regulations and issue the advisory/ explanation/warning e-mail based on the gravity of the situation/ issue without any bias to receive feedback from your reporting managers. To drive the initiatives with compassion so that others could take inspiration for their tasks. To be courageous enough to mark NR-LWP of your Team member as per SOP or LWP in case of non-adherence to University / Departmental Polices To showcase creativity and innovation while taking new initiatives. To empathize with colleagues, understand their perspectives, and communicate clearly and respectfully To be emotionally strong as a lot ofstudents write emails to get their names deleted from Debar Lists as per University Debar policy & as per which students cannot be removed from debar list if they don’t have valid proof. To be proactive in checking urgent emails and taking necessary actions even before/after working hours. Demonstrated experience in process optimization, team management, and cross- functional coordination. Ability to manage multiple projects and lead a team effectively. To do time to time analysis of the data like attendance, scores and feedback. To have strong verbal and non-verbal communication while showcasing adherence to the 7 C’s of communication To make sure that the required information flows in the best possible way for the complete execution of the tasks To express the team agenda clearly and to ensure its execution as required To analyze complex data, identify patterns, and draw actionable outcomes Familiarity with campus recruitment patterns and aptitude test formats (e.g., AMCAT, Co Cubes, CAT, GRE, etc). To be able to make analysis of students’ feedback, AMCAT Scores in both Power Point Presentation as well as Microsoft Excel or G-sheets. Use data and analytics to support decision-making and present findings to senior Leadership. To give and receive feedback in a constructive manner, using insights to drive personal and professional growth To accept feedback in a positive way and work for the improvements if any To ensure assertive yet calm while dealing with the immediate subordinates To establish a good rapport towards all the hierarchies so that smooth flow of information could take place. To be active participant in any team meetings and contribute towardsthe agenda of the meeting To showcase patience and strong will power in handling KRA. To resolve the conflicts among the team for the smooth functioning of the department. To foster the concept of working together for the single goal of taking CU ahead. Official time for AD-DCPD is 8:45 AM to 6:00 PM. The AD-DCPD should make optimum utilization of the office hours and not proceed for frequent breaks in the day (flexibility to stretch working hoursfor 2 hours more than the normal working hours at most once a week) In addition to this, AD-DCPD may be deputed for an additional Late Evening Placement Drive Duty till late hours (For male – Max till 11:00 pm) once a week and will be compensated accordingly with early logouts the next day <p> Call at </p>
