Billing Appeals Manager Job Summary The Billing Appeals Manager is responsible for leading and overseeing the firm's Appeals function, ensuring maximum recovery of revenue from audited, reduced, and rejected invoices. This position manages a team of 10-12 Billing Appeals Specialists and serves as the primary subject matter expert for all appeals-related processes, carrier guidelines, and audit reduction strategies. Working closely with attorneys, billing professionals, collections teams, and clients, the Billing Appeals Manager drives the firm's appeal efforts by monitoring performance metrics, identifying trends, implementing best practices, and developing strategies to improve appeal success rates and reduce future invoice write-downs. The successful candidate will be an experienced people leader with a strong background in legal billing, invoice auditing, appeals management, and revenue cycle operations. This individual must possess the ability to lead a high-performing team while maintaining operational excellence and delivering exceptional service to internal and external stakeholders. Duties and Responsibilities
- Leadership & Team Management
- Lead, mentor, develop, and manage a team of 10-12 Billing Appeals Specialists.
- Establish performance goals, conduct regular coaching sessions, and complete annual performance evaluations.
- Monitor team productivity, workload distribution, quality standards, and adherence to appeal deadlines.
- Foster a collaborative, customer-focused culture that promotes accountability, efficiency, and continuous improvement.
- Develop and implement training programs to ensure team members remain current on carrier requirements, outside counsel guidelines, billing best practices, and appeals strategies.
- Manage staffing priorities and ensure adequate coverage to support business needs.
- Appeals Management & Revenue Recovery
- Oversee the end-to-end appeals process for insurance carrier and non-insurance invoice reductions, rejections, and audit deductions.
- Ensure appeals are submitted accurately, timely, and in accordance with client billing guidelines and carrier requirements.
- Review and assist with complex appeals, escalations, and high-value reductions.
- Partner with attorneys and billing teams to develop persuasive appeal narratives and supporting documentation designed to maximize recovery.
- Monitor appeal deadlines and ensure all recovery opportunities are pursued.
- Maintain oversight of appeal logs, workflows, and tracking tools to ensure accurate reporting and follow-up.
- Analyze appeal outcomes and identify trends impacting firm revenue.
- Operational Oversight & Process Improvement
- Develop, track, and report key performance indicators, including appeal recovery rates, turnaround times, reduction trends, and team productivity.
- Analyze audit trends by carrier, client, practice group, and invoice type to identify root causes of reductions.
- Recommend and implement process improvements designed to increase appeal success rates and reduce future billing deductions.
- Collaborate with Billing, Collections, Pricing, and Revenue Management leadership to improve billing accuracy and compliance.
- Lead initiatives focused on workflow automation, operational efficiencies, and enhanced reporting.
- Evaluate existing procedures and implement best practices to strengthen department performance.
- Stakeholder Management
- Serve as the primary escalation point for attorneys, partners, billing professionals, collections staff, and clients regarding appeals-related questions and issues.
- Act as a liaison between Revenue Management, legal teams, client representatives, and third-party audit vendors.
- Provide guidance and recommendations regarding outside counsel guidelines and audit requirements.
- Develop strong working relationships with firm leadership and key stakeholders to support revenue recovery objectives.
- Present performance metrics and recovery trends to senior leadership.
- Reporting & Compliance
- Monitor compliance with outside counsel guidelines and carrier-specific billing requirements.
- Produce and analyze departmental reports related to appeals performance, recovery metrics, aged appeals, and team productivity.
- Ensure accurate maintenance of appeal records and supporting documentation.
- Identify risks impacting revenue recovery and recommend corrective action plans.

Skills and Educational Requirements- Bachelor's degree required.
- Minimum 7+ years of legal billing, appeals, revenue management, or invoice auditing experience.
- Minimum 3+ years of direct people management experience leading teams within an appeals, auditing, legal billing, or revenue cycle environment.
- Demonstrated experience managing employee performance, coaching teams, and driving operational results.
- Experience working with insurance carrier audits, outside counsel guidelines, and invoice reduction appeals required.
- Strong knowledge of legal billing and appeals processes.
- Experience with Aderant, BillBlast, Intapp Time, or comparable legal finance systems preferred.
- Advanced Microsoft Excel skills, including reporting and data analysis.
- Strong proficiency with Microsoft Office Suite.
