<p>The Senior Manager - CEMD is responsible for end coordination and communication across all institutional events managed by the Central Events Management Division. The role serves as the primary coordination interface between CEMD, stakeholder departments, senior leadership, and external agencies, ensuring that every event - from flagship university summits to Chancellor/VC level engagements is planned, communicated, and executed on a consistent, verifiable, and time- bound basis.</p><p><br /></p><p><b>2. Key Responsibilities</b></p><p><b>A. Event Coordination</b></p><ul><li>Coordinate planning and execution timelines across all CEMD-managed events, ensuring alignment between logistics, hospitality, transport, and protocol teams.</li><li>Develop minute-by-minute programme documents (M2M) and master run-sheets for flagship events, and circulate these to all stakeholder domains.</li><li>Track action items across departments and follow up to closure, escalating gaps or delays to the Director/ED-DSA&amp;A in a timely manner.</li><li>Serve as the single point of coordination between CEMD and academic, administrative, security, and facilities teams during event planning and execution phases.</li></ul><p><b>B. Stakeholder &amp; Institutional Communication</b></p><ul><li>Draft and manage formal correspondence, stakeholder-alignment emails, and briefing notes on behalf of CEMD leadership, in a clear and professional register appropriate to the audience.</li><li>Prepare leadership-facing presentations, gap analyses, and planning decks for VC/Chancellor-level review meetings.</li><li>Coordinate guest list management, invitations, and protocol communication for dignitaries and external delegations.</li><li>Act as liaison with external agencies, partner institutions, and vendors on event-related communication and confirmations.</li></ul><p><b>C. Documentation &amp; Reporting</b></p><ul><li>Maintain accurate, version-controlled event documentation, including planning trackers, logistics slides, and post-event reports.</li><li>Prepare and consolidate status updates for senior leadership ahead of review meetings, ensuring covering notes are concise and data is presented in tabular/summary form.</li><li>Ensure all event communications and records comply with institutional protocol and governance standards.</li></ul><p><b>D. Cross-Functional &amp; Administrative Support</b></p><ul><li>Support workforce and resourcing coordination for event days, working with domain leads to confirm staffing adequacy.</li><li>Coordinate with the transport, parking, and facilities teams to plan participant and parent movement for large-scale events.</li><li>Assist in onboarding and briefing of new team members and event-day volunteers on coordination protocols.</li></ul><p><b>3. Key Result Areas (KRAs)</b></p><p><b>KRA Measure</b></p><ul><li>Event coordination effectiveness - Zero critical logistics gaps at flagship events; on-time closure of cross- domain action items</li><li>Communication quality &amp; timeliness-Stakeholder briefs, M2M documents, and leadership decks delivered within agreed timelines</li><li>Leadership reporting accuracy- Error-free, data-verified status reports and presentations for VC/Chancellor-level review</li><li>Stakeholder satisfaction -Positive feedback from partner departments, external agencies, and senior Leadership.</li></ul><p><b>4. Required Qualifications &amp; Experience</b></p><ul><li>Postgraduate degree in Management, Mass Communication, Public Relations, or a related discipline.</li><li>Minimum 3 years of experience in event management, institutional coordination, or corporate communications, preferably in an educational or large-institution setting.</li><li>Demonstrated experience coordinating multi-stakeholder events involving senior leadership and external dignitaries.</li></ul><p><b>5. Core Skills &amp; Competencies</b></p><ul><li>Strong written and verbal communication skills, with the ability to adapt register across formal leadership communication and stakeholder-facing correspondence.</li><li>High proficiency in MS Office / Google Workspace, particularly presentations, tabular reporting, and structured documentation.</li><li>Strong organizational and follow-up discipline; ability to manage multiple concurrent event timelines.</li><li>Sound judgment under time pressure, with the composure to coordinate live, high-visibility events.</li><li>Collaborative working style with the ability to influence without direct authority across departments.</li></ul><p><br /></p><p><b>CALL AT </b></p><p><br /></p><img src="https://www.jobg8.com/Tracking.aspx?CZf80o6naHbgepFJRm5mu82YE7Adh0Wpu" width="0" height="0" />
