General Summary

The Project Administrator provides administrative, accounting, document control, and operational support to ensure efficient project and office operations. This role supports field operations, office personnel, and business unit leadership through a variety of administrative and compliance-related functions, Project operations. This position will also support the front desk operations.

Essential Job Accountabilities

  • Create, maintain, and organize project and business files to ensure accurate document control and record retention.

  • Distribute, copy, and manage confidential company documents to ensure timely communication while maintaining compliance with privacy and document retention requirements.

  • Maintain office, reception, mailroom, and file room organization to support an efficient work environment.

  • Perform data entry and administrative processing, including timecard entry, payroll support, accounts payable invoice processing, accounts receivable billing and collections, vendor setup, and purchasing card reconciliations to ensure accuracy, timely completion, and compliance with Company policies and procedures, Generally Accepted Accounting Principles (GAAP), and Sarbanes-Oxley (SOX) requirements.

  • Provide receptionist and front-office support, including answering and directing calls, greeting and assisting visitors, managing calendars, handling incoming and outgoing mail, and coordinating deliveries.

  • Support day-to-day business operations through administrative, accounting, and project-related activities to ensure accurate, efficient, and timely workflows.

  • Assist with project setup activities, contract administration, contract billing functions, and document management.

  • Coordinate communication and provide operational support to field operations, project teams, management, vendors, customers, and other stakeholders.

  • Assist with purchasing, shipping, receiving, and procurement activities in support of field and office operations.

  • Participate in internal audits and self-audits of business functions to ensure that established internal controls are followed to maintain compliance with Company policies and procedures, including Generally Accepted Accounting Principles (GAAP) and Sarbanes-Oxley (SOX) requirements.

  • Provide department-specific support to Human Resources, Safety, Equipment, Estimating, Construction, and Construction Materials teams.

  • Assist with business development activities, customer communications, and special projects as needed.

Education

  • High School Diploma or equivalent required.

Work Experience

  • Relevant administrative, accounting, project support, or office administration experience preferred.

Knowledge, skills, and abilities

  • Ethical and professional business practices.

  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.

  • Strong typing proficiency, including 10-key by touch, data entry accuracy, and general computer skills.

  • Effective verbal and written communication skills.

  • Strong attention to detail and organizational skills.

  • Ability to work independently, manage competing priorities, handle multiple tasks, and respond with a sense of urgency while performing effectively under pressure.

  • Experience with JD Edwards World/One World or other ERP systems preferred.

  • Ability to develop and maintain knowledge of company operations, organizational procedures, and personnel.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand, walk, sit, and use hands to operate a computer keyboard. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus. Benefits may vary for positions located outside of the continental United States.

Base Salary Range:

$43,911.00 - $65,865.00

Pay may vary based upon relevant experience, skills, location, and education among other factors. ​
