We are part of the Ambe International group with 40 years of global staffing experience across the UK, Germany, Romania, Oman, Dubai, and India. *ABOUT THE ROLE* We are hiring a US Payroll & Accounts Specialist to support our US finance and billing operations from our India office. You will handle end-to-end weekly payroll for travel healthcare professionals, manage accounts receivable and payable, and oversee MSP billing through VMS portals — all in sync with US business hours. *KEY RESPONSIBILITIES* Payroll: - Process weekly W2 and 1099 payroll for travel nurses, allied health, and locum professionals - Calculate tax-free housing and meal stipends per IRS guidelines - Handle multi-state federal, state, and local tax deductions - Coordinate with recruiters to validate hours, overtime, and shift differentials - Manage year-end W2 and 1099 issuance - Resolve payroll queries and discrepancies promptly Accounts Receivable: - Invoice hospitals, clinics, long-term care facilities, and MSP clients - Maintain AR aging reports and follow up on overdue accounts - Post incoming payments and reconcile against invoices - Support month-end and quarter-end AR close MSP Billing and VMS Portals: - Submit timesheets and invoices via VMS platforms such as Fieldglass, Beeline, Shiftwise, or HealthTrust - Track MSP billing cycles, rate confirmations, and contract compliance - Resolve billing disputes, credit memos, and short payments - Maintain bill rates, pay rates, and markup details per MSP contracts Accounts Payable: - Process vendor and contractor invoices within agreed payment terms - Perform three-way matching of purchase orders, receipts, and invoices - Maintain vendor records and payment schedules Reconciliation and Reporting: - Conduct weekly and monthly bank reconciliations - Prepare AR aging, AP aging, and payroll summary reports - Support month-end and year-end close - Assist with audit preparation and documentation *REQUIRED QUALIFICATIONS* - Minimum 2 years of experience at a US healthcare staffing company — this is mandatory - Hands-on US payroll experience including W2, 1099, weekly pay cycles, and multi-state payroll - Direct experience with MSP billing and VMS portal submissions - Strong accounts receivable experience including invoicing, collections, and aging reports - Working knowledge of accounts payable, vendor payments, and reconciliation - Proficiency in accounting or payroll software such as QuickBooks, ADP, or Paychex - Strong Microsoft Excel skills including pivot tables, VLOOKUP, and reconciliation formulas - Good understanding of US payroll tax compliance including FICA, FUTA, SUTA, and stipend rules - Excellent written and spoken English for communication with US clients and teams - Must be willing to work night shifts on a permanent basis — non-negotiable - Must be based in Mumbai or Nasik and able to work on-site *PREFERRED QUALIFICATIONS* - Bachelor's or diploma in Commerce, Accounting, or Finance - Experience with Fieldglass, Beeline, Shiftwise, or HealthTrust VMS platforms - Multi-state payroll experience especially in California, New York, Georgia, or Oregon - Prior experience in a US staffing BPO or India-based back office supporting a US staffing company - Familiarity with Joint Commission compliance in a staffing environment - Knowledge of US GAAP basics *WORK SCHEDULE AND LOCATION* - Work Mode: On-Site only, no remote or hybrid option - Office: Mumbai or Nasik, Maharashtra - Shift: 6:00 PM to 3:00 AM IST, Monday to Friday - Weekly Off: Saturday and Sunday - Notice Period: Immediate preferred, maximum 30 days *WHAT WE OFFER* - Competitive salary based on US healthcare staffing finance experience - Night shift allowance - Direct working relationship with US operations and finance leadership - Full exposure to US healthcare staffing finance — payroll, AR, AP, and MSP billing - Career growth within a globally backed, award-winning staffing company - Stable, permanent role with immediate start *HOW TO APPLY* If you have experience in US healthcare staffing finance and are ready to work on-site in Mumbai or Nasik on night shifts, we want to hear from you.
