Job Description

Job Profile – Import Documentation Executive Position Import Documentation Executive / Import Coordinator Experience Minimum 3 years of relevant experience, preferably in a manufacturing or industrial organization. Job Purpose Responsible for managing and coordinating end-to-end import documentation and related processes, ensuring timely clearance of imported materials, proper documentation, regulatory compliance, and coordination with internal and external stakeholders. Key Responsibilities Manage end-to-end import documentation, from purchase order/shipment initiation through customs clearance and receipt of materials. Verify and maintain import documents such as Commercial Invoice, Packing List, Bill of Lading/Airway Bill, Certificate of Origin, Insurance documents, and other applicable certificates. Coordinate with suppliers, freight forwarders, customs brokers/CHA, shipping lines, transporters, banks, and internal departments. Track import shipments and ensure timely submission of required documents for customs clearance. Coordinate with the Purchase, Stores, Finance, Production, and Logistics teams regarding incoming imported materials. Check shipping documents against purchase orders and ensure accuracy of quantities, values, descriptions, HS codes, and other relevant details. Follow up on customs clearance, delivery schedules, duty payments, and transportation of materials to the manufacturing facility. Maintain proper records of import documentation and shipment-related correspondence for audit and statutory requirements. Assist in preparation and verification of documents related to Bill of Entry, customs duty, import payments, and bank-related import documentation. Monitor pending shipments, documentation discrepancies, demurrage/detention risks, and take timely corrective action. Ensure compliance with applicable customs, import regulations, and company procedures. Coordinate with finance/accounts for import-related payments, duty reconciliation, and documentation closure. Prepare regular reports on import shipments, pending documents, clearance status, and associated costs. Support internal and external audits by providing required import records and documentation. Required Skills & Qualifications Graduate degree in Commerce, Business Administration, Logistics, Supply Chain, or a related field. Minimum 3 years of experience in import documentation/processes, preferably in the manufacturing sector. Good understanding of import procedures, customs documentation, and international shipping processes. Working knowledge of MS Excel and ERP systems such as SAP/Oracle or equivalent. Strong coordination and follow-up skills. Good attention to detail and documentation accuracy. Ability to work with multiple stakeholders and manage time-sensitive shipments. Good written and verbal communication skills. Preferred Experience Experience in a manufacturing company handling imported raw materials, components, machinery, or spares will be an advantage.
