SUMMARY UD is currently seeking an Executive Assistant to the Provost to assist with the management and coordination of Academic Affairs projects, as well as projects in other areas reporting to the Provost & Senior Vice President, and to serve as liaison between internal units and external agencies. In addition, the Executive Assistant will ensure smooth operation of the office, advise on organizational and institutional matters, and provide administrative support for the Provost Office, which includes the Provost, the Associate Provost, and the Assistant Provost. PRIMARY RESPONSIBILITIES Create an average of 200 contracts including payroll paperwork each year for full-time faculty. Coordinate Rank and Tenure Reviews. The number of reviews each year varies from as few as four to as many as twenty-five. Arrange and oversee special events sponsored by the Provost Office including but not limited to King/Haggar/Haggerty Day and Faculty Day, and major university wide conferences and academic lectures. Arrange and set up meetings of the Provost Council, the Council of Deans, and the Council of Deans and Chairs. Maintain current and historic lists of committees and members. Maintain faculty files on current and former faculty members and maintain Banner records related to these files. Coordinate Provost Office expense reports for Provost, Associate Provost and Assistant Provost. Coordinate and oversee all aspects of Commencement, undergraduate and graduate. Manage calendars for Provost and Associate/Assistant Provosts. Coordinate Provost Office use of Zoom membership and Zoom meetings and conferences. Process contract, expense approval and reimbursement requests, and other documents requiring signature through DocuSign. Coordinate and oversee training and development for academic administrative assistants. Maintain and update Provost website. Supervise Provost Office student workers. Interact daily with employees and management. Assist as needed with daily correspondence. Other duties as assigned to ensure the efficient and effective operation of the Provost Office. MINIMUM REQUIREMENTS Bachelor's degree At least five (5) years of corporate administrative experience or higher education administration.
