EXECUTIVE ASSISTANT

About the Role

This role combines executive assistance, office administration, inventory management, finance administration and team coordination. You will support the Founder while working closely with the entire team to ensure the business runs smoothly.


Salary: INR 27,500 to 30,000 per month


Key Responsibilities

1. Supporting the Founder

·      Manage the Founder’s professional and personal calendar, appointments and priorities.

·      Plan and organize the Founder’s day, week and month, including meetings, preparation time, travel and follow-ups.

·      Coordinate internal meetings, client calls, workshops, personal appointments and other commitments.

·      Identify clashes or missing information early and help reorganize schedules before they become urgent.

·      Prepare short meeting briefs, agendas, relevant documents and reminders before important conversations.

·      Take clear meeting notes and convert discussions into concise action lists and follow-up reminders.

·      Draft and format emails, letters, messages and simple business documents on behalf of the Founder.

·      Handle selected personal administrative coordination such as renewals, bills, appointments, documentation and family-related logistics, with complete confidentiality.

·      Infrequently accompany or support the Founder & Team during business travel, workshops or events when required.

2. Travel and Logistics

·      Plan domestic and international travel, including flights, hotels, local transport, visas and itineraries.

·      Prepare practical travel schedules with contact details, timings, addresses and important documents in one place.

·      Coordinate changes, cancellations or last-minute requirements calmly and efficiently.

·      Ensure the Founder and team have the materials and information required for workshops, client visits and events.

3. Office Management and Inventory

·      Ensure the office is organized, functional, welcoming and ready for the working day.

·      Manage stationery, pantry supplies, workshop materials, printed resources and other consumables.

·      Maintain simple records of office assets, equipment, supplies and replenishment requirements.

·      Coordinate with vendors, couriers, technicians, building management and service providers.

·      Follow up on repairs, maintenance, internet, utilities and routine office requirements.

·      Keep meeting areas, documents and materials client-ready and professionally presented.

4. Finance Administration

·      Prepare and raise invoices accurately and maintain billing records.

·      Update expense records, reimbursements and basic finance trackers.

·      Follow up professionally on pending payments and maintain a clear status of collections.

·      Coordinate with the accountant on invoices, documents, payments and routine finance administration.

·      Use Tally, Zoho Books or similar software, or learn these tools as part of the role.

·      Maintain confidentiality and accuracy while handling financial and personal records.

5. Team Coordination and Administrative Support

·      Work closely with the Atlas team to coordinate schedules, meetings, workshop requirements and internal follow-ups.

·      Help ensure that the right information reaches the right person at the right time.

·      Coordinate consultant and client meetings, materials, printing, courier and venue requirements.

·      Keep common trackers, folders and administrative records organized and updated.

·      Support smooth communication between the Founder, team members, consultants, vendors and clients.

·      Use digital and AI tools sensibly to improve organisation, writing, note-taking and productivity.

Who We're Looking For

·      Fresh graduates with internship experience or candidates with up to 1 year of experience.

·      Excellent written and spoken English.

·      Organised, dependable and detail-oriented.

·      Commerce background preferred. (With working knowledge of Accounts Receivables/Payables)

·      Comfortable with Microsoft Office, Google Workspace and AI tools.

·       Lives close to Dahisar East / Mira Road preferred.

·      Own transport is an advantage.

Employment Details

·      Atlas Learning Pvt. Ltd., 611, Fortune Emporio, Pandurang Wadi, Mira Road East (Dahisar East), Mumbai –

·      Monday to Friday: 10:00 AM – 6:30 PM

·      Two Saturdays off every month. Working Saturdays: 10:00 AM – 6:30 PM

·      All Sundays and public holidays off

·      20 days paid annual leave

·      3-month probation

·      Work from Office

Preferably a girl or a woman who has been on a sabbatical.
