Position Overview


We are seeking a highly organized, customer-focused Senior Onboarding Associate to join our dynamic team supporting Fortune 500 clients. This role serves as a key point of contact between candidates, client managers, MSPs, and internal teams throughout the onboarding and assignment lifecycle.


The ideal candidate is an exceptional communicator who takes ownership, builds strong client relationships, and delivers a high level of customer service in a fast-paced, time-sensitive environment. This individual must be comfortable managing multiple priorities, navigating multiple technologies, resolving issues, and proactively communicating status, expectations, and next steps.

Key Responsibilities

Client & Customer Service

• Serve as a primary point of contact and trusted partner for candidates, client managers, MSPs, and internal stakeholders throughout the onboarding and assignment lifecycle.

• Build and maintain professional, responsive relationships with clients through timely communication, accurate information, and proactive follow-up.

• Communicate onboarding status, outstanding requirements, anticipated start dates, potential delays, and resolution plans to clients and MSPs.

• Manage client expectations by clearly communicating timelines, requirements, dependencies, and next steps.

• Respond promptly and professionally to questions, concerns, and escalations, taking ownership through resolution.

• Provide exceptional customer service to workers throughout their assignment, including assistance with assignment extensions, pay changes, time reporting issues, client questions, and other assignment-related needs.

• Identify potential issues before they impact the client or candidate and proactively communicate solutions.

• Serve as an advocate for both the client and candidate while maintaining company policies, compliance requirements, and contractual obligations.

• Maintain a professional and positive experience when managing difficult conversations, competing priorities, or time-sensitive issues.

Onboarding & Assignment Management

• Manage multiple client requests and onboard a high volume of candidates simultaneously, with an expected workload of approximately 20–25 active/consecutive onboardings and a target onboarding cycle time of 8–10 business days.

• Review candidate qualifications, resumes, employment history, education, training, and job skills to support the qualification and onboarding process.

• Conduct candidate phone interviews and communicate onboarding expectations, requirements, timelines, and next steps.

• Manage and prioritize a personal desk of onboarding activity, including coordination of tasks completed by offshore/new-hire support teams.

• Track onboarding progress and maintain accurate daily status updates using SharePoint and other internal systems.

• Coordinate with Compliance to confirm all client-specific onboarding and compliance requirements are satisfied before the candidate’s start date.

• Ensure all new-hire paperwork and onboarding requirements are completed accurately and timely.

• Enter required information into third-party background screening systems and monitor the process through completion.

• Assist candidates with scheduling and completing required health screenings, vaccinations, and other client-specific health requirements.

• Monitor expiring documentation and proactively communicate renewal requirements to candidates and internal stakeholders.

• Prepare candidates for their first day by confirming start instructions, reporting locations, schedules, contacts, and other client-specific expectations.

• Facilitate assignment extensions, changes, and other lifecycle activities while maintaining clear communication with all stakeholders.

• Coordinate contractor terminations at the conclusion of assignments and facilitate the return of client equipment.

Technology & Process Management

• Navigate multiple Vendor Management Systems (VMS) to submit candidates and manage client requirements.

• Utilize multiple internal and external technologies simultaneously while maintaining accuracy and attention to detail.

• Navigate third-party background screening platforms to initiate, monitor, troubleshoot, and confirm completion of background checks.

• Maintain accurate records and documentation across applicable systems.

• Understand and apply client-specific onboarding processes, compliance requirements, and workflows.

• Identify process gaps and communicate opportunities to improve the candidate and client experience.

Cross-Functional Support

• Collaborate with HR, Legal, Compliance, Payroll, Recruiting, and other internal stakeholders to resolve candidate and client issues.

• Assist candidates in navigating questions related to visas, leaves of absence, payroll, benefits, and other employment-related matters by connecting them with the appropriate internal resources.

• Understand the distinctions between W-2, Subcontractor, and Independent Contractor (IC) hiring modalities and ensure the appropriate process is followed.

• Escalate complex or sensitive issues appropriately while maintaining ownership and communication through resolution.

Customer Service Expectations

The Senior Onboarding Associate is expected to:

• Own the customer experience from initial onboarding through assignment completion.

• Communicate proactively rather than waiting for clients or candidates to request updates.

• Respond with urgency while maintaining accuracy and professionalism.

• Establish credibility and trust through consistent follow-through.

• Clearly explain requirements and processes in a way that is easy for candidates and clients to understand.

• Remain calm, diplomatic, and solutions-oriented when handling challenging situations.

• Anticipate client and candidate needs and take action before issues become escalations.

• Maintain confidentiality and professionalism when handling sensitive employee and client information.

• Represent Rose International positively in every interaction.

Qualifications

• Minimum 3 years of customer service experience; staffing, onboarding, recruiting, HR, or client services experience preferred supporting US based clients.

• Exceptional written and verbal communication skills.

• Strong customer service and relationship-building skills.

• Demonstrated ability to solve problems and manage challenging conversations diplomatically.

• Strong organizational skills and exceptional attention to detail.

• Ability to prioritize and manage a high volume of work in a fast-paced, deadline-driven environment.

• Ability to manage multiple candidates, clients, requests, and priorities simultaneously.

• Strong administrative and process-management skills.

• Ability to work independently while contributing effectively to a collaborative team environment.

• Comfortable asking questions, seeking assistance, and escalating issues appropriately.

• Strong computer skills with the ability to navigate and learn multiple systems and technologies.

• Proficient in Microsoft Office, including Outlook, Word, and Excel.

• Typing speed of approximately 45 WPM.

• Experience working with a Vendor Management System (VMS) preferred.

• Experience with third-party background screening platforms preferred.

• Staffing, onboarding, recruiting, or HR experience preferred.

• Knowledge of health screening requirements, vaccination requirements, or CDC guidelines is a plus.
