About the RoleOffice Beacon is seeking an experienced Bookkeeper to support day-to-day accounting and month-end activities for a U.S.-based nonprofit organization.
The role is well suited to a bookkeeping professional with hands-on QuickBooks Online (QBO) experience and a strong understanding of nonprofit accounting , including accounts payable, accounts receivable, reconciliations, expense reimbursements, financial recordkeeping, and audit preparation.
The successful candidate will work independently, maintain accurate financial records, communicate clearly with stakeholders, and consistently meet recurring accounting deadlines.
Key ResponsibilitiesBookkeeping & Accounting Operations
- Manage day-to-day Accounts Payable (AP) and Accounts Receivable (AR) activities.
- Process and record expense reimbursements.
- Maintain accurate and up-to-date accounting records in QuickBooks Online.
- Review transactions and account balances for accuracy and completeness.
- Maintain organized financial records and supporting documentation.
Reconciliations & Month-End
- Perform bank, account, and expense reconciliations.
- Support month-end reconciliation and closing activities.
- Investigate discrepancies and follow up on outstanding items.
- Ensure accounting records and supporting documentation are complete and accurate.
Audit & Compliance Support
- Prepare and organize financial documentation for audit activities.
- Assist with audit preparation, including supporting schedules and requested documentation.
- Support compliance-related accounting activities.
- Assist with accounting requirements applicable to California nonprofit organizations and related state tax matters.
Communication & Coordination
- Communicate clearly with internal stakeholders regarding accounting questions and follow-ups.
- Track recurring accounting tasks and deadlines.
- Work independently while escalating issues that require additional review or clarification.
- Previous professional experience as a Bookkeeper or Accounting professional .
- Hands-on professional experience using QuickBooks Online (QBO) .
- Experience supporting U.S. 501(c)(3) nonprofit organizations .
- Strong understanding of Accounts Payable, Accounts Receivable, reconciliations, and expense reimbursements .
- Experience supporting month-end accounting and reconciliation activities.
- Experience preparing or organizing documentation for audits.
- Knowledge of nonprofit accounting and financial recordkeeping.
- Strong written and verbal English communication skills.
- Strong attention to detail, organization, and accuracy.
- Ability to work independently and manage recurring accounting responsibilities and deadlines.
- Availability to work approximately 10:00 AM–2:00 PM Pacific Time .
- Experience with California nonprofit accounting .
- Familiarity with California state tax and nonprofit compliance requirements.
- Experience with nonprofit financial reporting.
- Experience supporting external or independent audits.
- Knowledge of accounting controls and financial process documentation.

Who This Role Is ForThis position is best suited for a bookkeeper who has hands-on QBO experience and has worked with U.S. nonprofit accounting , rather than a general bookkeeping professional whose experience is limited to domestic Indian accounting.
