Position Overview:We are seeking an Advisory Fee Billing Associate who will beresponsible for administering fee-related activities within Brookstone. This role is highly complex and takes an individual who has srong analytical skills and financal analysis skills. The ideal candidate will be highly organized, detail-oriented, analytical, and a team player who thrives in a fast-paced environment. The primary focus of this role is to ensure accurate and timely calculation, distribution, and tracking of fees for Financial Advisors and external partners. As a Billing Associate, your responsibilities will include analyzing financial data, maintaining fee billing records, resolving discrepancies, and collaborating with various departments to ensure seamless fee billing processes.
Key Responsibilities:Assist with the monthly billing process, including fee calculations and auditingPerform data reconciliation between portfolio accounting systems and custodiansMaintain and update client billing profiles, fee schedules, and account changesEnsure fees are billed in accordance with client agreements and firm policiesCollaborate with internal teams to resolve billing discrepancies and client inquiriesPrepare billing-related reports for internal stakeholders and managementEnsure that fee billing processes adhere to company policies, industry regulations, and legal requirementsInvestigate and resolve billing-related disputes or discrepanciesProvide support and guidance to Advisors or team members on billing-related mattersTrack and support new account onboarding, terminations, and billing changesAssist with audits, regulatory requests, and internal compliance reviews as neededIdentify and recommend process improvements for billing efficiency and accuracy
Qualifications:Bachelor’s degree in Finance, Accounting, Business, or related field (or equivalent experience)1–3 years of experience in billing, client operations, or finance, preferably in an RIA or wealth management environmentUnderstanding of basic Advisory Fee billing structures (tiered AUM, flat fees, hybrid models)Strong Excel skills (v-lookups, pivot tables, basic formulas)Excellent attention xzbcwsv to detail and ability to manage multiple tasks under deadlinesClear written and verbal communication skillsComfortable working independently and within a team environment.Detail-oriented with excellent organizational and problem-solving skillsExcellent interpersonal, organizational, and communication skills
Preferred Skills:Experience supporting independent Advisors or RIA within a TAMP frameworkExperience working with custodians such as Schwab, Fidelity, or PershingFamiliarity with portfolio management software (e.g., Orion, Tamarac, Black Diamond)
Position: Full-time
Location: Wheaton, IL (100% onsite - not a remote/hybrid/WFH position)

Pay Range: $50k-$75k (depending on experience)
