POSITION SUMMARYThe Senior Accountant is responsible for the full accounting and financial operations function of the company, including job costing, accounts payable and receivable, billing and collections, account reconciliations, and state sales tax compliance. This role also serves as the company's point person for HR compliance (in partnership with a third-party payroll/HR provider), business licensing across the jurisdictions in which the company operates, equipmenttracking and licensing/registration, and the company's insurance programs (General Liability, Auto Liability, and group medical). This is a hands-on role suited to someone comfortable owning both the detailed bookkeeping and the higher-level compliance and reporting responsibilities of a growing manufacturing/installation business.

KEY RESPONSIBILTIESAccounting and Job CostingMaintain the general ledger and manage the month-end close process in QuickBooks DesktopPrepare journal entries, accruals, reconciliations, financial statements, and management reportsAssist with job costing by tracking labor, materials, subcontractors, and overhead against project estimatesReview job profitability and identify cost overruns or variancesSupport budgeting, forecasting, cash-flow planning, and year-end tax preparationCoordinate with the company’s outside CPA firmBilling, Receivables and PayablesManage customer billing, payment application, collections, and aging follow-upReconcile QuickBooks with the company’s job-management systemProcess vendor invoices and payments and ensure expenses are assigned to the correct jobsMaintain vendor records, W-9s, and year-end 1099 reportingPayroll, Tax and ComplianceCoordinate payroll information with the company’s third-party payroll and HR providerAssist with benefits enrollment, employee recordkeeping, workers’ compensation reporting, and other HR compliance requirementsPrepare and file applicable state and local sales and use tax returnsMaintain resale and exemption certificatesTrack business licenses, permits, vehicle and equipment registrations, and required renewalsInsurance AdministrationAssist with the company’s general liability, auto liability, workers’ compensation, and group medical insurance programsCoordinate renewals, claims, certificates of insurance, employee enrollment, and invoice reconciliationMaintain insurance documentation required by customers and vendors
QUALIFICATIONSAssociate degree required; bachelor’s degree in Accounting, Finance, or a related field preferredFive or more years of progressive accounting experience, including at least two years in a senior accountant, controller, or comparable roleStrong hands-on QuickBooks experienceExperience with job costing or project-based accounting, preferably within manufacturing, construction, fabrication, or the tradesWorking knowledge of sales and use tax requirementsExperience coordinating payroll, benefits, or HR matters with a third-party provider preferredStrong Excel, organizational, and problem-solving skillsAbility to work independently, manage deadlines, and handle confidential information appropriately
