- Develop, document, and maintain Standard Operating Procedures (SOPs) and operational workflows;
- Create structure and consistency across recurring office and administrative functions;
- Organize and maintain accurate client and caregiver files;
- Coordinate client and caregiver onboarding processes;
- Monitor documentation, credentials, training, and other compliance requirements;
- Support scheduling, payroll, billing, and other operational processes;
- Assist with documentation and administrative requirements related to long-term care insurance, VA-authorized care, Medicaid/waiver programs, and private-pay services, as applicable;
- Identify operational gaps and implement practical solutions that improve efficiency;
- Help ensure the agency's day-to-day operations run smoothly as the organization continues to grow.
- Organizes and supports the Agency’s day-to-day operations, helping ensure processes are efficient, consistent, and well-structured.
- Develops, documents, and maintains SOPs, checklists, workflows, and internal processes to improve efficiency and consistency.
- Identifies operational gaps or inefficient processes and works with agency leadership to develop and implement practical solutions.
- Maintains organized and compliant client and caregiver files, including required documentation, credentials, training records, authorizations, and expiration tracking.
- Coordinates new client setup and caregiver onboarding, ensuring required documentation, background checks, training, credentials, and system setup are completed.
- Supports documentation and administrative requirements for long-term care insurance, Medicaid/waiver programs, VA-authorized care, and other payer sources, as applicable.
- Utilizes WellSky Personal Care (formerly ClearCare) to maintain accurate client, caregiver, scheduling, and service information.
- Utilizes Viventium and other agency systems to support employee onboarding, payroll processes, and personnel records.
- Supports caregiver scheduling and service coordination as needed to help ensure reliable coverage and continuity of care.
- Reviews payroll, billing, and operational information for accuracy and follows up on discrepancies or outstanding items.
- Tracks recurring administrative and compliance requirements and ensures important deadlines and follow-up items are completed.
- Communicates professionally with clients, families, caregivers, vendors, insurance companies, and other partners while maintaining confidentiality.
- All other duties as assigned.
- High School Diploma required; College Degree preferred.
- Previous experience in home care, senior care, healthcare operations, care coordination, staffing, or a related field strongly preferred.
- Experience with WellSky Personal Care/ClearCare strongly preferred; experience with Viventium or a similar payroll/HRIS platform is a plus.
- Knowledge of client and caregiver file management, onboarding, scheduling, and home care documentation requirements preferred.
- Experience with long-term care insurance, Medicaid/waiver programs, VA-authorized care, or other home care payer sources is a strong plus.
- Experience developing SOPs, workflows, checklists, or improving operational processes preferred.
- Strong organizational and problem-solving skills with excellent attention to detail and the ability to manage multiple priorities independently.
- Strong written and verbal communication skills with the ability to professionally communicate with clients, families, caregivers, and team members.
- Ability to learn and navigate multiple software platforms while maintaining confidentiality of client and employee information.
- Possess and maintain a valid driver's license and valid auto insurance.
