Facilities Coordinator

ABOUT THE ROLEYou are the link between the people on campus who need something fixed, the facilities team and, vendors who fix it. You receive service requests, create and route work orders in the work ordermanagement system, keep everyone informed, and close each work order once the job is done right.

WHAT YOU WILL DO- Respond quickly to emergencies and urgent service requests so work starts and finishes on time.- Create, route, update and close work orders in the work order management system.- Send work orders to outside vendors, receive their completion paperwork, verify the work was done,and close the order.- Be the point of contact between customers and the facilities team by phone, email and other channels.- Talk with customers to gather, verify and clarify the details needed to process each request.- Coordinate with building managers and technicians to understand issues and get them resolved.- Schedule passenger vans and executive vehicles.- Join team meetings and trainings, in person or by video (Zoom).- Other related duties as assigned.
WHAT YOU NEED- High school diploma or equivalent.- 1+ year of experience as a dispatcher, phone operator, data entry clerk, or similar.- Intermediate Microsoft Excel, Word and Outlook.- 10-key / numeric data entry skills.- Able to handle a high volume of transactions with strong attention to detail.- Clear written and spoken communication.- Stays calm and acts decisively in an emergency.- Works well with colleagues and supervisors at every level.
GOOD TO KNOW- Full-time, in the office every day (no remote or hybrid). xzbcwsv - Mostly desk work: long periods of sitting and/or standing, computer and phone use.- Background screening required.
