Assistant Manager – Alumni Relations

We are looking for Assistant Manager – Alumni Relations for the Gurugram campus.
Objective of the Role
The Assistant Manager, Alumni Relations, will support the planning, execution, coordination, and monitoring of alumni engagement initiatives. The role serves as an operational bridge between GLIM-G and its alumni community and requires strong relationship-building, communication, event coordination, database discipline, and digital engagement capabilities.
Key Responsibilities
1. Alumni Engagement and Relationship Management
• Build and maintain active relationships with alumni across batches, programs, cities, industries, and functional domains.
• Coordinate alumni participation in guest sessions, panel discussions, mentoring, placement support, admissions outreach, and institutional events.
• Support batch-wise, city-wise, regional, and special-interest alumni communities, including alumni chapters where applicable.
• Identify active, senior, and high-potential alumni who can contribute to institutional priorities and maintain regular follow-up.
2. Alumni Database and Portal Management
• Maintain updated alumni records covering contact details, organization, designation, location, industry, function, batch, and program.
• Clean, validate, and periodically update alumni data; ensure confidentiality and responsible handling of alumni information.
• Support alumni portal registration, onboarding, issue resolution, and coordination with IT/vendor teams.
• Prepare alumni lists, dashboards and reports for placements, mentoring, admissions, rankings, accreditation, events and newsletters.
3. Alumni Events and Reunions
• Lead in planning and executing alumni meets, batch reunions, city meets, conclaves, webinars and networking sessions.
• Manage invitations, RSVP tracking, registration, logistics, vendors, event-day coordination and post-event communication.
• Coordinate with administration, marketing, hospitality, IT, finance, student committees, program offices and faculty.
• Support alumni awards, recognition, mementos, attendance records, feedback reports, photographs and event documentation.
4. Communication, Content, and Digital Engagement
• Draft and coordinate alumni emailers, invitations, announcements, newsletters, thank-you notes, event updates and alumni stories.
• Collect alumni achievements, career transitions, entrepreneurial updates, awards, publications and professional milestones.
• Coordinate with the marketing/social media team for website, LinkedIn, newsletters, and alumni portal content.
• Manage alumni WhatsApp/LinkedIn groups professionally and ensure timely, accurate, and institutionally aligned communication.
5. Internal Coordination and Stakeholder Management
• Work with faculty, program offices, student affairs, admissions, marketing, career services, administration, IT, finance and senior leadership.
• Support faculty requests for alumni speakers, panels, and projects.
• Prepare meeting notes, action trackers and timely follow-up reports for alumni-related activities.
Qualifications
• Master's degree in any discipline from a recognized university.
• Preferably 3–5 years of total experience. Strong candidates with 2+ years of highly relevant experience may also be considered.
• Relevant experience in alumni relations, higher education administration, institutional relations, events, corporate relations, student affairs, admissions outreach, community management or stakeholder engagement.
• Excellent written and verbal communication skills for emails, reports, event notes, social media inputs and alumni stories.
• Working knowledge of CRM/alumni portals, digital marketing, social media management, event management, and automation tools.
• Proficiency in Excel/Google Sheets, MS Office/Google Workspace and basic data reporting.
• Digital orientation: LinkedIn, WhatsApp communities, email tools, alumni portals, Google Forms, and Canva/basic design tools.
Required Skills and Competencies
• Relationship-building ability with young alumni, senior professionals, entrepreneurs, CXOs, and faculty.
• Excellent written and verbal communication for emails, reports, event notes, social media inputs and alumni stories.
• Event coordination capability across planning, logistics, RSVP, vendors, execution and closure.
• Digital orientation: LinkedIn, WhatsApp communities, email tools, alumni portals, Google Forms, MS Office/Google Workspace and Canva/basic design tools.
• Strong database discipline, Excel/Sheets proficiency, reporting orientation, attention to detail and
confidentiality.
• Execution focus, follow-up discipline, multitasking ability, service mindset and professional maturity.
