AR / AP Specialist

Job Summary

We are a busy, growing small construction (electrical contractor) company looking for an organized, detail-oriented AR/AP Specialist to take ownership of our day-to-day accounting functions. You will handle vendor bills, material supplier invoices, and client billings.. If you are familiarized with the full AP and AR cycle and understand the fast-paced nature of job sites, we want to hear from you.

Key Responsibilities

Accounts Payable (AP)

• Invoice & PO Processing: Match vendor invoices, delivery tickets, and purchase orders (POs) to ensure accuracy before payment.
• Vendor Management: Maintain vendor files, collect W-9 forms, and reconcile monthly supplier/subcontractor statements.
• Bill Payments: Prepare and process check runs, ACH payments, or credit card reconciliations on a regular schedule.
• Inquiries: Resolve billing discrepancies, duplicate invoices, or pricing mismatches with supplier alongside the person in charge of purchasing for the company and the internal project management team.

Accounts Receivable (AR)

• Client Billing: Work alongside with the project management team on active construction projects and other miscellaneous billings as necessary.
• Cash Receipts: Apply incoming customer payments, checks, and wire transfers accurately to open invoices. Resolve discrepancies with the respective project managment team member. 

General Bookkeeping & Job Costing

• Ledger Support: Enter financial transactions cleanly into our accounting software (e.g., QuickBooks Online / QuickBooks Enterprise).
