About the Role

We are seeking a detail-oriented and experienced Pre/Post Diligence, Closing & Settlement / Legal Coordinator to support the Legal and Closing team of a leading luxury real estate auction company.

The role will support transactions from the pre-auction diligence stage through post-auction closing and settlement , working closely with internal legal, closing, operations and transaction teams, as well as external attorneys, title/escrow companies, buyers, sellers, agents and other transaction stakeholders.

The ideal candidate will have experience with U.S. real estate transactions, title/closing processes, legal documentation, due diligence, transaction coordination, or real estate legal support .

Key Responsibilities

Pre-Auction / Pre-Closing Due Diligence

  • Assist with gathering, organizing and reviewing property and transaction documentation.
  • Coordinate collection of due diligence materials from sellers, agents, attorneys, title companies and other third parties.
  • Maintain organized transaction files and ensure required documents are received and properly stored.
  • Track outstanding diligence items, deadlines and follow-ups.
  • Review documents for completeness, consistency and missing information and escalate issues to the appropriate legal or closing team member.
  • Assist with reviewing property-related documents, title reports, surveys, contracts, disclosures and other transaction materials.
  • Coordinate with internal teams to ensure transactions are prepared for closing.

Post-Auction / Closing & Settlement

  • Support transactions after the auction through closing and settlement.
  • Coordinate with buyers, sellers, attorneys, title/escrow companies and agents to keep transactions moving toward the scheduled closing date.
  • Track deposits, closing documents, title requirements and other transaction milestones.
  • Maintain detailed closing checklists and transaction status reports.
  • Follow up on outstanding signatures, documents, approvals and closing requirements.
  • Assist with preparation, review, organization and distribution of closing-related documentation.
  • Help identify potential delays or missing requirements and escalate them promptly.
  • Support settlement and post-closing documentation and file organization.

Legal & Transaction Coordination

  • Assist the Legal team with document management and transaction administration.
  • Coordinate execution of agreements and other legal/transaction documents.
  • Maintain accurate records of executed agreements and transaction correspondence.
  • Communicate professionally with attorneys, title companies, escrow providers, real estate agents and other external stakeholders.
  • Handle sensitive and confidential transaction information with a high degree of discretion.
  • Perform research and administrative support related to real estate transactions as requested by the Legal team.
  • Assist with improving and maintaining transaction workflows, checklists and standard operating procedures.

Required Qualifications

  • 3–6+ years of relevant experience in U.S. real estate, real estate law, title/escrow, closing coordination, transaction coordination, legal operations or a related field .
  • Strong understanding of U.S. real estate transaction and closing processes.
  • Experience working with legal documents, contracts, title/closing documents or transaction files.
  • Strong attention to detail and ability to identify missing or inconsistent information.
  • Excellent written and verbal English communication skills.
  • Strong organizational and follow-up skills.
  • Ability to manage multiple transactions and deadlines simultaneously.
  • Comfortable communicating with U.S.-based professionals and external parties.
  • Strong proficiency in Microsoft Office, particularly Excel, Word and Outlook.
  • Ability to work independently while maintaining close communication with the U.S. team.

Preferred Qualifications

  • Experience supporting U.S. residential or Real estate transactions .
  • Experience with title companies, escrow companies, closing attorneys or settlement agents.
  • Paralegal, legal operations, real estate or transaction coordination experience.
  • Experience working with U.S. legal or real estate clients from an offshore/Global Delivery environment.
  • Familiarity with electronic signature and document management platforms.
  • Experience managing high-volume, deadline-driven transactions.
