Executive Assistant to the CEO – Strategy, Analytics & Systems

Location: Indore

Employment Type: Full-time, On-site

Reporting To: Founder & CEO

About the Job

MAVIP is looking for a highly analytical, structured and execution-focused professional to work closely with the Founder & CEO.


This is NOT a conventional Executive Assistant role centred primarily on calendar management, meeting scheduling or administrative coordination. It is a high-trust role for someone who can bring structure to complexity, turn discussions into action, analyse information, establish systems and ensure that important priorities move forward.


The person will operate as an extension of the CEO’s office—supporting decision-making, tracking execution across teams and business units, and creating greater visibility, accountability and operational discipline across the organisation.

Role Overview

The Executive Assistant to the CEO will support the CEO across strategic planning, business analysis, management reporting, systems development and cross-functional execution.

The role requires someone who can understand the larger business context while remaining rigorous about details, deadlines and follow-through. You must be comfortable working across multiple priorities, asking the right questions, processing incomplete information and converting broad direction into structured action plans.


Calendar and meeting coordination will be part of the role, but they will not define it. The real value of this position lies in improving the quality and speed of decision-making and execution across MAVIP.

Key Responsibilities

1. CEO Priority and Execution Management

  • Maintain a structured view of the CEO’s strategic, operational and organisational priorities.
  • Convert discussions, ideas and decisions into clear action items, owners and timelines.
  • Track commitments made by teams and ensure timely follow-through.
  • Identify delays, dependencies and execution risks before they become critical.
  • Prepare concise priority summaries and decision briefs for the CEO.
  • Ensure that important initiatives continue moving without requiring repeated intervention from the CEO.

2. Business Analysis and Decision Support

  • Gather, organise and analyse information required for business decisions.
  • Conduct secondary research on markets, companies, industries, competitors, technologies and opportunities.
  • Evaluate information critically and present conclusions—not merely raw data.
  • Build business cases, comparative analyses, projections and scenario assessments.
  • Support the CEO in evaluating new initiatives, partnerships, investments and market opportunities.
  • Translate complex information into clear recommendations and next steps.

3. Management Reporting and Dashboards

  • Create and maintain dashboards covering revenue, pipeline, profitability, delivery, people and strategic initiatives.
  • Consolidate reports and updates from different teams and business units.
  • Review submissions for accuracy, completeness and consistency.
  • Identify patterns, exceptions, risks and areas requiring management attention.
  • Prepare weekly, monthly and quarterly management reports.
  • Improve visibility into organisational performance and execution.

4. Systems and Process Development

  • Identify recurring activities that require stronger systems, workflows or documentation.
  • Design practical processes, templates, trackers, review mechanisms and reporting structures.
  • Reduce dependency on memory, informal follow-ups and fragmented communication.
  • Support the implementation and adoption of project management, CRM, reporting and collaboration systems.
  • Document workflows, decision paths and ownership structures.
  • Continuously identify opportunities to improve efficiency, accountability and clarity.

5. Cross-SBU and Cross-Functional Coordination

  • Coordinate strategic and operational priorities across MAVIP’s business units and functions.
  • Work with business, client servicing, sales, finance, HR, marketing, operations and delivery teams.
  • Ensure that interdependent teams remain aligned on responsibilities and timelines.
  • Follow up on leadership decisions and verify that agreed actions have been implemented.
  • Surface conflicting priorities, ownership gaps and unresolved dependencies.
  • Facilitate information flow between the CEO and relevant stakeholders.

6. Strategic Projects

  • Support or independently manage select strategic projects from planning through completion.
  • Develop project plans, milestones, trackers and review mechanisms.
  • Coordinate internal and external stakeholders involved in CEO-led initiatives.
  • Monitor progress, document decisions and escalate material risks.
  • Support business expansion, organisational development and special initiatives.
  • Take ownership of projects that may not sit neatly within one existing department.

7. Meetings and Leadership Reviews

  • Establish clear objectives and agendas for important meetings.
  • Ensure that the CEO receives relevant information and context in advance.
  • Record key decisions, responsibilities and deadlines.
  • Circulate structured minutes and action trackers where required.
  • Follow up with owners until actions are completed.
  • Improve meeting effectiveness by ensuring that discussions lead to measurable outcomes.

8. Executive Coordination

  • Manage the CEO’s calendar with an understanding of business priorities—not merely availability.
  • Protect time for strategic thinking, reviews and high-impact work.
  • Coordinate internal and external meetings, travel and essential communication.
  • Organise information so that important messages, documents and decisions remain accessible.
  • Handle sensitive business, employee and financial information with absolute discretion.
  • Represent the CEO’s office professionally in interactions with employees, clients, partners and other stakeholders.


What We’re Looking For

  • Bachelor’s or master’s degree in business, management, finance, economics, engineering, analytics or a related discipline.
  • Approximately 2–5 years of relevant experience in business analysis, consulting, founder’s office, strategy, project management, operations or a similar role.
  • Strong analytical and problem-solving ability.
  • Excellent command of Microsoft Excel, PowerPoint and business documentation.
  • Ability to create dashboards, reports, presentations and decision-support material.
  • Strong written and verbal communication skills.
  • Exceptional organisation, attention to detail and follow-through.
  • Ability to work with ambiguity and bring structure to loosely defined situations.
  • Confidence to follow up with senior colleagues and hold owners accountable respectfully.
  • Sound judgment when working with sensitive or confidential matters.
  • Comfort working in a fast-moving, multi-business and geographically distributed organisation.
  • High levels of ownership, maturity, reliability and personal integrity.
  • Flexibility to occasionally support time-sensitive matters outside standard hours due to MAVIP’s international operations.
