About the Role

Q TECHNOLOGY PRIVATE LIMITED is looking for an experienced and responsible Administrative Manager to oversee day-to-day administrative, facility, security, and support operations. The ideal candidate should have strong coordination, vendor management, people management, and problem-solving skills to ensure smooth and efficient workplace operations.

Key Responsibilities

1. General Administration

  • Manage and coordinate day-to-day administrative activities.
  • Ensure smooth functioning of office, factory, warehouse, and other facilities.
  • Maintain administrative records, registers, and documentation.
  • Coordinate with management and different departments for operational requirements.
  • Handle administrative issues and resolve them in a timely manner.

2. Inward / Outward & Outpass Management

  • Manage Input / Output (Inward & Outward) materials and documentation .
  • Maintain material movement records and registers.
  • Monitor employee, visitor, material, and asset outpass procedures.
  • Coordinate with security and concerned departments for material movement.
  • Ensure proper authorization for all inward and outward movements.

3. Security Management

  • Supervise security personnel and security-related activities.
  • Manage visitor entry and exit procedures.
  • Monitor security registers, access control, and material movement.
  • Coordinate with security agencies and ensure proper deployment of security staff.
  • Handle security-related incidents and escalate critical matters to management.

4. Food & Transport Management

  • Coordinate employee food/canteen requirements.
  • Monitor food quality, hygiene, vendor performance, and timely service.
  • Manage employee transportation and transport vendors.
  • Coordinate vehicle schedules, routes, and transportation requirements.
  • Maintain transport-related records and resolve employee concerns.

5. Housekeeping & Facility Management

  • Supervise housekeeping staff and ensure workplace cleanliness.
  • Monitor hygiene, sanitation, waste management, and common areas.
  • Coordinate facility maintenance, repairs, electrical, plumbing, and other requirements.
  • Ensure proper upkeep of office, factory, warehouse, and employee facilities.

6. Stationery & Office Supplies

  • Maintain stationery and office consumables inventory.
  • Raise purchase requests and coordinate with vendors.
  • Monitor stock levels and ensure timely availability of essential items.
  • Maintain proper records of issue and usage.

7. Worker / Manpower Coordination

  • Coordinate with workers, support staff, housekeeping, security, and other manpower.
  • Monitor attendance, deployment, and daily requirements of support staff.
  • Coordinate with contractors and manpower agencies where applicable.
  • Address operational concerns and escalate employee/workforce issues when required.

8. Landlord & Vendor Coordination

  • Coordinate with landlords/property owners regarding facility-related matters.
  • Manage relationships with housekeeping, security, transport, food, maintenance, and other vendors.
  • Follow up on service quality, invoices, renewals, and agreements.
  • Negotiate and coordinate service requirements with vendors under management guidance.

9. First Aid & Employee Welfare

  • Ensure availability of first-aid kits and essential medical supplies.
  • Coordinate basic employee welfare and emergency support requirements.
  • Maintain emergency contact information and support emergency situations.
  • Coordinate with hospitals/medical facilities whenever required.

10. Asset & Facility Records

  • Maintain records of company assets, equipment, furniture, keys, and other administrative items.
  • Monitor allocation and movement of company assets.
  • Support periodic physical verification of assets.
  • Coordinate repairs, replacements, and maintenance.

11. Compliance & Safety Coordination

  • Support implementation of workplace safety and administrative procedures.
  • Maintain relevant statutory, safety, and facility-related records.
  • Coordinate fire safety, emergency preparedness, and periodic safety checks.
  • Ensure required licenses, certificates, and facility documents are tracked and renewed on time.

12. Additional Responsibilities

  • Organize meetings, events, employee engagement activities, and company functions.
  • Coordinate travel, accommodation, and local arrangements whenever required.
  • Manage courier, postal, and dispatch activities.
  • Support new-joiner facility requirements such as seating, ID cards, access, and basic arrangements.
  • Prepare administrative MIS reports and submit periodic updates to management.
  • Handle urgent administrative requirements and provide timely operational support.
  • Perform any other administrative and facility-related responsibilities assigned by management.
Requirements
  • Qualification: Any Bachelor's Degree.
  • Experience: 3–7 years of experience in Administration / Facility Management / General Administration.
  • Strong vendor and manpower coordination skills.
  • Good communication and interpersonal skills.
  • Ability to manage multiple administrative activities simultaneously.
  • Good knowledge of MS Office / Excel and administrative documentation.
  • Strong problem-solving and negotiation skills.
  • Ability to coordinate with employees, vendors, security, workers, landlords, and management.
  • Should be organized, responsible, proactive, and capable of handling day-to-day operational challenges independently.
