About the RoleWe are looking for a highly organized and execution-focused PMO professional to coordinate multiple projects, stakeholders and operational workstreams.
This role sits at the centre of execution — connecting leadership, internal teams, clients, external stakeholders and vendors to ensure projects move from planning to successful closure .
This is not a role for someone who only maintains trackers. We are looking for someone who takes end-to-end ownership, follows through aggressively, identifies risks early and ensures commitments are delivered.
Key Responsibilities1. Project Management- Manage multiple projects simultaneously from initiation to closure.
- Create detailed project plans, timelines and execution trackers.
- Define milestones, dependencies, owners and deadlines.
- Conduct regular project reviews with relevant teams.
- Identify potential delays and risks before they impact delivery.
- Follow up with stakeholders until actions are completed.
- Maintain clear visibility across all active projects.
- Act as a central coordination point between internal and external stakeholders.
- Schedule and manage project discussions and review meetings.
- Document decisions, responsibilities and next steps.
- Ensure information reaches the right stakeholder at the right time.
- Maintain professional communication with senior stakeholders.
- Track commitments and ensure timely closure.
- Coordinate operational requirements across projects.
- Work with internal teams and external vendors.
- Maintain project-specific checklists.
- Ensure all pre-project and execution-day requirements are completed.
- Manage last-mile dependencies and escalations.
- Support on-ground execution wherever required.
- Ensure quality standards are consistently maintained.
Build and maintain management dashboards covering:

Provide leadership with clear visibility into:
- What's on track
- What's delayed
- What's at risk
- What's awaiting approval
- What's dependent on another team
- What requires escalation
- What's successfully closed
Reports should be action-oriented rather than activity-oriented .
5. Risk & Escalation Management- Identify project risks proactively.
- Maintain a risk and dependency tracker.
- Escalate critical issues at the appropriate time.
- Recommend practical solutions rather than simply reporting problems.
- Ensure critical dependencies have contingency plans.
- Prevent avoidable last-minute escalations.
- Maintain structured documentation for every project.
- Create and improve SOPs, checklists and operating processes.
- Maintain meeting notes and action trackers.
- Ensure project information is organized and easily accessible.
- Document learnings after major projects.
- Identify opportunities to automate or simplify repetitive processes.
A project is not complete when execution finishes.
The PMO will ensure:
- Pending deliverables are completed.
- Stakeholder commitments are closed.
- Documentation is updated.
- Reports are completed.
- Outstanding dependencies are resolved.
- Learnings are captured.
- The project is formally marked closed.
Experience: 2–5 years in PMO, project management, operations, client servicing, program management or similar execution-focused roles.
The ideal candidate should have:
- Strong project-management discipline.
- Excellent follow-up capabilities.
- Exceptional attention to detail.
- Strong written and verbal communication.
- Ability to coordinate with senior stakeholders.
- Good working knowledge of Excel/Google Sheets.
- Experience with project-management and productivity tools.
- Ability to manage multiple priorities simultaneously.
- Strong problem-solving capabilities.
- Ability to operate effectively in a fast-moving environment.
- High accountability and ownership.
We are looking for someone who is:
Structured but adaptable.
Persistent without being disruptive.
Detail-oriented without losing sight of the larger objective.
Comfortable taking ownership without waiting for constant instructions.
Most importantly, the person should understand the difference between following up and getting something closed.
Key Performance IndicatorsPerformance will be evaluated based on:
- On-time project delivery
- Accuracy of project tracking
- Percentage of action items closed on schedule
- Number of avoidable escalations
- Stakeholder satisfaction
- Quality of documentation
- Speed of issue resolution
- Operational accuracy
- Project closure timelines
- Ability to manage multiple concurrent projects
We don't consider:
“I informed them.”
or
“I sent a reminder.”
as completion.
Completion means:
The requirement was understood → owner identified → timeline agreed → follow-up completed → dependency resolved → outcome verified → tracker updated → project closed.
