Job Summary:

The Sales Back Office Executive is responsible for providing administrative and operational support to the sales team to ensure smooth sales processes and customer satisfaction. This role involves handling order processing, customer communication, data entry, preparing quotes, coordinating with logistics, and maintaining records to support overall sales functions.

Key Responsibilities:

 Process customer orders, quotations, and invoices accurately and timely in the system (ERP/CRM).

 Support the sales team by preparing sales proposals, contracts, and related documentation.

 Communicate with customers regarding order status, deliveries, and other post-sales support queries.

 Coordinate with warehouse, logistics, and finance teams to ensure on-time deliveries and billing.  Maintain and update customer records, sales reports, and inventory databases.

 Assist in the preparation of sales performance reports and presentations for management.

 Follow up with clients for payments, pending documents, or other necessary requirements.

 Handle administrative tasks such as scheduling meetings, filing, and responding to emails.

 Provide excellent internal and external customer service to ensure client satisfaction.

 Ensure compliance with company policies, procedures, and quality standards.

Requirements:

 Bachelor’s degree in Business Administration, Sales in the Aerospace and Defence industry.

 3 to5 years of experience in a similar back-office or sales coordination role.

 Proficiency in MS Office (Excel, Word, Power Point); knowledge of ERP/CRM systems is a plus.

 Strong organizational and multitasking skills.

 Excellent communication skills (written and verbal).

 Attention to detail and accuracy.  Ability to work independently and as part of a team.
