Academic coordinator

Role Overview - The Student Admissions & Lifecycle Executive is responsible for managing the end-to-end student journey, from initial enquiry and acquisition through to onboarding, training coordination, and final placement support. The role requires a strong combination of sales capability, relationship management, and operational coordination, with clear ownership of student outcomes and experience.

Key Responsibilities

1. Student Acquisition & Enquiry Management

Handle all incoming enquiries across channels including calls, emails, digital campaigns, and social media platforms Manage and engage with walk-in enquiries, providing accurate programme information and counselling Ensure timely and consistent follow-ups on all leads until closure Convert qualified enquiries into enrolled students, achieving defined conversion targets Maintain complete and accurate data capture of all enquiries within the CRM/system Visit schools, colleges, and relevant institutions to promote diploma programmes, generate leads, and build brand awareness Represent the academy at education fairs, career events, and promotional activities

2. Student Onboarding & Experience

Coordinate and manage student enrolment processes across diploma and short-term programmes Support and conduct student onboarding and orientation sessions Act as a primary point of contact for students, ensuring a smooth transition into the programme Monitor student engagement and escalate attendance or participation concerns where required

3. Student Lifecycle Management

Take ownership of the complete student lifecycle from enquiry to programme completion and placement support Ensure seamless coordination across all stages including admissions, training, assessments, certification, and placements Maintain regular communication with students to ensure a positive and consistent experience throughout the programme

4. Training, Certification & Placement Coordination

Organise and coordinate industrial training for diploma students Coordinate campus placements and industry interactions at the end of the programme Support students with placement readiness, including interview coordination and scheduling Manage enrolments and certification processes for short-term courses Track and report placement outcomes and employer feedback

5. Relationship & Stakeholder Management

Build and maintain strong relationships with students, parents, alumni, and industry partners Drive referrals and repeat enrolments through effective relationship management Coordinate with internal departments to ensure smooth programme delivery Liaise with external stakeholders including visiting faculty, industry professionals, and vendors as required

6. Lead Management, Reporting & CRM

Track and report on lead funnel metrics including enquiries, conversions, and drop-offs Maintain daily and weekly reports on conversion ratios and enrolment performance Ensure adherence to defined response time standards for all enquiries Use tools effectively for lead tracking, communication, and reporting Ensure all interactions are accurately recorded and updated in real time

7. Process Excellence & Compliance

Ensure compliance with all admissions policies and documentation standards Maintain high standards of data accuracy and confidentiality Identify and suggest improvements to admissions processes and student experience

Skills & Requirements

Strong communication and counselling skills Sales orientation with the ability to convert enquiries into enrolments Good working knowledge of MS Office Strong organisational and coordination abilities Ability to manage multiple stakeholders and tasks simultaneously Proactive, detail-oriented, and student-focused approach

Preferred Experience

Experience in education, training institutes, or hospitality/culinary environments Prior experience in admissions, counselling, student services or hospitality sales roles
