Job Description – Business Coordinator
Role Purpose
The business coordinator will support the day-to-day coordination and execution of
compliance activities relating to HCP/HCO engagements, events, sponsorships, third-party
engagements, agreements, payments, documentation and approvals.
The role will work closely with Business, Finance, Legal, IT and regional/country teams to
ensure activities are processed and closed on time and in line with company policies, SOPs,
applicable regulations and industry codes.
Key Responsibilities
∙Coordinate with Business/BU teams on HCP/HCO engagements, events, sponsorships
and third-party activities.
∙Raise and Review requests and ensure required documents, approvals and information
are complete.
∙Manage and monitor requests through Compliance Portal and other workflow systems.
∙Track approvals, pending requests, TATs and post-activity requirements and drive timely
closure.
∙Review agendas, agreements, invoices, activity reports, proof of services and other
supporting documents.
∙Identify documentation gaps, process deviations and delays and coordinate for resolution.
∙Maintain compliance trackers, dashboards and management reports.
∙Coordinate with Finance, Legal, IT, Procurement and other stakeholders to resolve
process related matters.
∙Support compliance training and guide Business users on SOPs, MATS and compliance
processes.
∙Maintain accurate records and support audits, monitoring and investigations.
∙Support development and implementation of SOPs, checklists, workflows and process improvements.
∙Escalate significant compliance concerns, recurring delays or deviations to Compliance
leadership.
Qualifications & Experience
∙2–5 years of relevant experience in Business Coordination, Business Operations,
Compliance Operations, Sales/Commercial Operations, Healthcare Operations or similar
roles.
∙Experience in stakeholder coordination, request management, approvals,
documentation, follow-ups and process tracking.
∙Experience with portals, workflow systems, dashboards or reporting tools will be an
advantage.
∙Experience in medical devices, pharma, healthcare or life sciences will be preferred.
∙Good knowledge of MS Excel and Power Point.
∙Strong communication, coordination, follow-up and problem-solving skills.
∙Good attention to detail and ability to manage multiple activities.
∙High level of integrity, accountability and confidentiality.
