Job Description
About the Role
We are looking for an organised and proactive Admin & Facility Executive to manage day-to-day office administration, facilities, vendors, and workplace operations. The role will ensure a smooth, safe, clean, and well-maintained office environment while coordinating with internal teams and external service providers.
Key Responsibilities
Office Administration
- Manage day-to-day office administration and ensure smooth workplace operations.
- Maintain office supplies, stationery, pantry, housekeeping, and other essential requirements.
- Monitor office assets, equipment, and inventory records.
- Coordinate office maintenance, repairs, and general upkeep.
- Manage courier, dispatch, mail, and other administrative activities.
- Maintain relevant administrative records, bills, and documentation.
Facility Management
- Ensure cleanliness, hygiene, safety, and overall upkeep of the office premises.
- Coordinate with housekeeping, security, maintenance, and other facility staff.
- Conduct regular checks of office infrastructure and identify maintenance requirements.
- Coordinate with landlords/building management for facility-related issues.
- Manage utilities and track regular requirements such as electricity, water, internet, and other office services.
- Support office events, meetings, employee engagement activities, and other internal requirements.
Vendor Management
- Coordinate with vendors and service providers for office-related requirements.
- Obtain quotations, compare costs, and coordinate approvals wherever required.
- Monitor vendor performance and ensure timely delivery of services.
- Maintain vendor records, contracts, invoices, and service schedules.
- Support negotiation and renewal of facility and service contracts.
Compliance & Safety
- Ensure basic workplace safety and emergency preparedness.
- Maintain records related to facility inspections, AMC/service contracts, and compliance requirements.
- Coordinate with relevant teams/vendors for fire safety, pest control, electrical maintenance, and other periodic checks.
Requirements
- 2–5 years of experience in administration, facility management, or workplace operations.
- Good communication and coordination skills.
- Strong organisational and follow-up abilities.
- Proficiency in MS Office/Google Workspace.
- Ability to manage multiple vendors and administrative tasks simultaneously.
- Practical, proactive, and solution-oriented approach.
- Ability to work independently and take ownership of day-to-day operational requirements.
