Job Description

Position Summary

The Assistant Project Manager (APM) supports the successful execution of assigned construction projects by providing administrative and operational support throughout the project lifecycle. The APM reports to the assigned Project Manager and works closely with Senior Project Managers, Superintendents, subcontractors, vendors, design professionals, and other project stakeholders. The role supports preconstruction, procurement, scheduling, cost control, construction, documentation, closeout, and warranty activities. The APM is expected to maintain organized workflows, proactively track commitments and deadlines, connect field and office teams, identify issues early, and support execution in accordance with ELITE Construction's standard operating procedures, project requirements, and operational standards.

Key Responsibilities

Project Execution & Coordination

Support consistent project execution by monitoring compliance with ELITE Construction's standard operating procedures, following up on required actions, and escalating unresolved issues to the Project Manager.

Actively maintain and update project milestone, schedule, manpower, procurement, and subcontractor-progress tracking; identify gaps early and escalate potential impacts to the Project Manager and Superintendent before they affect delivery.

Partner with the Project Manager and Superintendent to coordinate daily project activities, maintain clear communication, and follow up on deadlines, commitments, and action items.

Serve as a key connector between the field and office by proactively surfacing jobsite needs, communicating priority shifts, and helping keep project teams aligned.

Assist the Project Manager and Superintendent with developing, updating, and communicating project schedules, look-ahead plans, manpower requirements, material-delivery needs, and other project planning activities.

Assist with buyout and procurement activities, including preparation of scopes of work, bid comparisons, quantity takeoffs, and contract-alignment reviews for approval by the Project Manager.

Maintain professional working relationships and timely communication with owners, architects, engineers, consultants, subcontractors, vendors, and internal project stakeholders.

Participate in regular jobsite walks and assist the Project Manager and Superintendent with monitoring progress, trade-partner performance, cleanliness, safety, quality, and coordination requirements; document and escalate unresolved conditions as appropriate.

Cost Control & Commercial Support

Assist the Project Manager with cost-control activities, including buyout tracking, commitment review, subcontractor billing, change-order logs, budget updates, and supporting documentation for monthly financial reporting.

Assist with subcontractor pay-application review, including verification of progress, stored materials, required documentation, change-order status, and schedule-of-values accuracy.

Review draft subcontract agreements, purchase orders, and scopes of work for consistency with approved bids and project requirements, and flag discrepancies to the Project Manager before issuance or execution.

Support change management by preparing and maintaining required backup, tracking pending items, coordinating follow-up, and ensuring approved changes are accurately reflected in project records and commitments.

Administrative & Documentation Management

Own the accuracy and completeness of assigned project documentation from preconstruction through closeout, ensuring records are current, traceable, and audit-ready at every stage.

Coordinate the administrative lifecycle of RFIs, submittals, and change orders, including preparation, routing, status tracking, required follow-up, supporting documentation, and final filing under the direction of the Project Manager.

Maintain required project logs and records, including RFIs, submittals, buyout, procurement, change orders, delays, drawings, meeting minutes, closeout, and other project controls required by ELITE's SOPs.

Maintain organized project records within the designated project management system and folder structures so current information is accessible to the appropriate project stakeholders.

Assist with preparation for and documentation of owner, architect, consultant, subcontractor, scheduling, and internal project meetings, including agendas, meeting minutes, action-item tracking, and follow-up.

Prepare project correspondence, reports, logs, letters, memos, and other project documents as required by the Project Manager and project needs.

Quality, Field Documentation & Closeout

Participate in quality-control reviews and site walks to compare installed work against contract documents, approved submittals, and ELITE quality standards; document deficiencies and support follow-up through resolution.

Coordinate with the Superintendent to maintain current as-built drawings, field-record documents, quality checklists, punch lists, and other required field documentation throughout construction.

Begin closeout tracking during construction and coordinate the collection, review, and distribution of warranties, operations and maintenance manuals, as-builts, attic stock, training records, lien releases, final inspections, punch documentation, and other required closeout deliverables.

Assist with warranty tracking and coordination after project completion in accordance with ELITE's approved warranty process.

Strategic Problem-Solving

Identify project issues early, develop potential solutions, and work with the Project Manager and Superintendent to resolve them before they affect cost, schedule, quality, or client commitments.

Continuously monitor project conditions and surface risk indicators early, escalating with relevant context and recommended next steps so project leadership can act quickly and decisively.

Investigate issues thoroughly, document findings clearly, and take an active role in implementing approved solutions that minimize disruption and protect project objectives.

Ability to read and interpret construction drawings, specifications, submittals, schedules, and contract documents.

Working knowledge of construction means and methods, project scheduling, cost control, subcontract administration, safety requirements, change management, and project closeout.

Working proficiency with construction-management, document-control, scheduling, accounting, and Microsoft Office applications, with the ability to quickly learn and consistently use ELITE's required technology platforms.

Strong organizational skills and personal accountability for completing assigned responsibilities, project checklists, follow-up items, and required documentation throughout the project lifecycle.

Proficient research and problem-solving skills with a solution-oriented mindset, strong work ethic, and team-player mentality.

Essential Functions of the Job

Punctual, regular attendance is an essential function of the job. Regular in-office attendance is required, with jobsite presence based on assigned project needs and direction from the Project Manager.

Ability to work a minimum of 40 hours per week, including the possibility of working during off-hours and/or weekends for special events or unexpected project needs.

Ability to set priorities, multi-task, and remain personally accountable for the functions associated with the assigned position.

Regular visits to construction sites and participation in progress, quality, safety, coordination, punch, and closeout activities as required by assigned project needs.

Travel as needed to local and statewide projects, events, and client meetings.

Perform other project-related responsibilities reasonably assigned by the Project Manager or Operations leadership.

Other duties as assigned

Qualifications & Experience

Bachelor's degree in construction management, engineering, business administration, or a related field preferred. Relevant construction experience may be considered in lieu of a degree.

Two to five (2-5) years of progressive experience in construction project coordination, field operations, project administration, estimating, or a related role preferred.

Field experience or demonstrated ability to understand construction means and methods, drawings, specifications, project controls, and subcontractor coordination strongly preferred.

Working knowledge of certified payroll and labor compliance for government-funded projects preferred for applicable assignments.
