About the Role Nayanta University is building its Office of Academics as the institutional nerve centre for everything that touches the quality of teaching, learning, and academic life on campus. Responsibilities Plan, coordinate, and maintain the University's academic calendar, ensuring all semester timelines, examination schedules, registration windows, and academic milestones are accurately communicated to students and faculty. Coordinate course scheduling across departments — including class timings, venues, office hours, discussion sections, and field components — and troubleshoot conflicts in real time. Administer the course registration and add/drop process, managing student queries, waitlists, prerequisite verifications, and course change requests in a timely and accurate manner. Provide administrative support to faculty members in pre-course preparations, including course uploads on the Learning Management System, syllabi circulation, and classroom resource coordination. Manage the application, selection, onboarding, and deployment of Teaching Assistants (TAs) as per faculty requirements, and serve as the primary administrative liaison between faculty and TAs throughout the semester. Engage proactively with faculty during the semester to ensure courses run smoothly, anticipating friction points in delivery and resolving them before they escalate. Administer the Academic Management System (AMS) for students and faculty, maintaining accurate and up-to-date records of course enrolments, grades, attendance, academic standing, and degree progress. Process and manage student requests relating to Leave of Absence, academic withdrawals, change of major or minor, Incompletes, Independent Study Modules, credit transfers, and graduation checks, ensuring accurate records and timely resolution. Support academic advising by assigning faculty mentors and advisors to students, tracking mentorship activity, and following up to ensure students receive meaningful academic guidance across their programme. Support the formulation, communication, and implementation of academic policies — including policies on grading, Incompletes, academic integrity, attendance, and leave — ensuring consistent application across programmes and departments. Administer the academic integrity framework, including documenting reported violations, coordinating committee proceedings, and maintaining confidential records in compliance with University policy. Keep institutional academic policies up to date and accessible, and coordinate with legal and regulatory teams to ensure compliance with UGC guidelines and applicable statutory requirements. Serve as the primary liaison between the Office of Academics and cross-functional teams, including IT, Student Life, Admissions and Marketing, Examinations, Finance, and the Registrar’s function, facilitating smooth information flow and resolution of interdepartmental academic issues. Collaborate with IT and academic technology teams to optimise academic processes, support LMS administration, and identify opportunities to improve digital systems and workflows supporting the student and faculty experience. Work with the Financial Aid Committee to prepare audit reports for scholarship recipients. Support programmatic initiatives and academic events, including orientation, convocation, academic workshops, and co-curricular learning opportunities, that enhance the overall learning experience for students. Qualifications 8–10 years of experience in academic administration, programme management, or a closely related function within a higher education institution. A postgraduate degree from a recognised institution and a background in education, the humanities, or the social sciences are an advantage. Strong working knowledge of the Indian higher education landscape, including UGC frameworks, academic calendar norms, and credit-based curriculum structures. Demonstrated ability to work confidently with senior faculty, academic leadership, and cross-functional institutional teams. Strong written and verbal communication skills, with a high degree of accuracy and attention to detail. Comfort with Learning Management Systems, student information systems, and the MS Office suite; familiarity with Academic Management Systems (AMS) is an advantage.
