We are seeking an Intake Coordinator who will serve as the first voice potential clients hear and play a critical role in shaping their experience with our firm. Responsibilities:Serve as the first point of contact for prospective clients, handling calls with professionalism, empathy, and confidenceGather complete intake information, including injury details, accident circumstances, and insurance informationNavigate conversations effectively to uncover potential injury claims, even when callers initially focus on other concernsEvaluate case viability and follow established intake procedures to sign, defer, or decline matters appropriatelySign cases with significant injuries for further investigation, even when liability questions remainManage difficult, emotional, or resistant callers with professionalism and sound judgmentAccurately document intake information within Filevine and maintain clean, organized recordsConduct follow-up outreach with leads and track status updates throughout the intake processCoordinate with the case management team to ensure a smooth transition after a case is signedMaintain a working knowledge of the firm's practice areas and case criteria to answer questions confidently
Requirements:1+ year of experience in a customer-facing, intake, call center, client coordination, or customer service roleExceptional verbal communication skills and the ability to confidently guide conversationsComfortable asking direct questions and gathering sensitive information in a professional mannerStrong attention to detail and data entry accuracyAbility to multitask and manage a high volume of calls in a fast-paced environmentReliable, punctual, and committed to working in an in-office settingStrong problem-solving skills and sound judgmentComfortable learning and utilizing technology platforms and software systems
Bonus Experience:Experience working in a law firm, medical office, or insurance environmentExperience with Filevine or similar case management softwareBilingual in English and Spanish
