Job Summary

We are looking for a well-groomed, highly organized, and proactive Front Office Executive to manage the Head Office reception while providing dedicated administrative and coordination support to the Director’s Office. The ideal candidate should possess excellent communication skills, a professional demeanor, and the ability to handle multiple responsibilities with complete confidentiality and efficiency.

This role requires a strong service orientation, exceptional organizational abilities, and the capability to seamlessly coordinate with internal teams, clients, and senior leadership.

Key Responsibilities

Front Desk & Reception Management

  • Welcome and assist visitors, clients, vendors, and guests with professionalism and courtesy.
  • Manage incoming calls, emails, and general inquiries, ensuring prompt and accurate routing.
  • Maintain visitor logs and adhere to office security and entry protocols.
  • Coordinate meeting room bookings and ensure meeting facilities are properly arranged.
  • Maintain a neat, organized, and professional reception area at all times.
  • Handle incoming and outgoing couriers, parcels, and official correspondence.

Director’s Office Support

  • Manage and maintain the Director’s calendar, appointments, meetings, and business engagements.
  • Coordinate internal and external meetings, ensuring all stakeholders are informed in a timely manner.
  • Screen and prioritize calls, emails, and correspondence addressed to the Director.
  • Prepare meeting agendas, presentations, minutes of meetings, and follow-up action items.
  • Arrange travel bookings, accommodation, transportation, and itineraries for the Director as required.
  • Act as the primary point of contact between the Director’s Office and internal/external stakeholders.
  • Track pending tasks and ensure timely completion of commitments and follow-ups.
  • Maintain confidential documents, records, and business correspondence with the utmost discretion.
  • Support the Director in organizing leadership meetings, client visits, and corporate events.

 

Administrative Support

  • Maintain and organize office records, files, and documentation systematically.
  • Coordinate with housekeeping, security, IT, and facility management teams to ensure smooth office operations.
  • Assist in daily administrative activities and support overall office management.
  • Monitor office supplies and coordinate procurement requirements.
  • Ensure seamless day-to-day functioning of the Head Office.

Communication & Coordination

  • Collaborate effectively with internal departments and external stakeholders.
  • Ensure timely communication and follow-ups on business requirements.
  • Build and maintain professional relationships with employees, clients, vendors, and visitors.
  • Demonstrate a proactive and service-oriented attitude at all times.

Qualification & Experience

  • Graduate in any discipline.
  • Minimum 5+ years of experience in Front Desk, Reception, Administration, or Executive Support roles.
  • Prior experience supporting senior management or Director-level executives is preferred.
  • Experience in handling travel coordination, meeting management, and office administration will be an added advantage.
