Job Description

<p> The Legal Aid Societys Civil Practice is seeking Housing Coordinator to join the Housing Justice Unit-Group Advocacy team in the Harlem Community Law Office. Reporting to the Citywide Director, Housing Coordinator will work with the Group Advocacy Supervising Attorney; Office Managers and their teams; case handlers; and the Civil Grants &amp; Contracts Team to ensure quality assurance for all Group Advocacy housing, benefits, and other related cases in the borough. The Housing Coordinator will also work with the Citywide Director, Group Advocacy Supervising Attorneys, Grants &amp; Contracts, and the Office Management team to establish efficient systems for data collection and updates. </p><p> ESSENTIAL DUTIES/RESPONSIBILITIES </p><p> Intake and Data Responsibilities </p><ul><li> Oversee and ensure collection of data for grants/contracts </li><li> With Office Management team ensure that all cases, including associated benefits and other related cases, are entered within one week of intake </li><li> Periodically update the Group Advocacy team on any changes or updates in data collection required for housing grants </li><li> Once registered, work with the case handlers to ensure that all cases are timely updated with data required for grants management including accurate service levels, completed DHCI (Declaration of Household Composition and Income) forms, other information needed to establish eligibility and outcomes; and are timely marked as ready for closing in the case management system </li><li> Work with case handlers to upload all documents needed for programmatic audits in the case management system within one week of intake and before case closing </li><li> Responsible for overall quality assurance in the case management system including cross-refencing LAS data with OCA data and NYSCEF (New York State Court Electronic Filing System); finding any duplicate cases or clients; ensuring that all cases where case work is being done are timely opened/registered and once the work is complete, the closing documents are completed </li><li> Once casework is completed, coordinate with the Office Management team to ensure cases are timely closed and archived </li><li> Following up with and/or interviewing clients to obtain information needed to properly enter, update, and/ or close cases, as needed </li><li> Utilize Microsoft 365 and its apps (Microsoft Forms, etc.,) as useful tools for creating or innovating efficient data tracking systems </li><li> Provide input into performance evaluations of staff </li></ul><p> Professional Development and other duties as assigned </p><ul><li> Participate in continuous professional development </li><li> Continuously learn about forms of bias in the workplace and demonstrate affirmative behaviors that support an inclusive work environment </li><li> Other duties as assigned </li></ul><p> QUALIFICATIONS </p><p> Required qualifications: </p><ul><li> Bachelors degree or an equivalent combination of 4+ years of post-secondary education and/or work experience </li></ul><p> Preferred qualifications: </p><ul><li> Bachelors degree </li><li> Previous administrative experience </li><li> Languages other than English preferred </li></ul><p> KNOWLEDGE, SKILLS AND ABILITIES </p><p> Position Based Knowledge, Skills, and Abilities: </p><ul><li> Ability to work in a team setting including strong communication and follow-up skills </li><li> Experience working in a fast-paced environment </li><li> Ability to manage relationships and effectively communicate with office management team; case handlers; and Civil G&amp;C team </li><li> Highly self-motivated and able to work independently </li><li> Demonstrated ability to accurately and quickly gather data, compile information, and keep accurate records </li><li> Excellent organizational skills </li><li> Ability to pay keen attention to detail </li><li> Excellent computer skills including Office 365 and all Microsoft Office programs, especially Microsoft Excel (pivot tables, etc.), and demonstrated ability to work with databases </li><li> Excellent judgment, including ability to handle sensitive or confidential information </li><li> Ability to multitask </li></ul><p> Organizational Knowledge, Skills, and Abilities: </p><ul><li> Commitment to Legal Aid Societys mission to secure equal justice before the law for all New Yorkers </li><li> Interpersonal and communication skills that enable healthy and productive working relationships </li><li> Ability to perform duties with the highest regard for confidentiality, integrity, and respect </li><li> Commitment to Legal Aid Societys mission and values </li></ul><p> Physical, environment, travel, and other duties required: </p><ul><li> Mostly sedentary, significant time using a computer and monitor; communicating and meeting using video </li><li> Requires occasional or frequent physical movement to perform essential job functions which may include, bending, reaching, pulling, pushing, standing or walking for long periods of time, accessing small spaces </li><li> May or will require travel within NYC, across the five-borough region </li></ul><p> SALARY AND BENEFITS </p><p> The salary range represents a good faith estimate of the range we expect to pay for this role.
