- Greet children, families, visitors, and staff in a welcoming and professional manner.
- Answer and direct telephone calls and respond to general program questions.
- Provide bilingual English/Spanish assistance to families when needed.
- Assist Spanish-speaking families with understanding program forms, notices, reminders, and routine communications.
- Help families complete enrollment and required program documentation.
- Direct parent questions or concerns to the appropriate administrator.
- Maintain an organized and professional reception/front-office area.
- Assist with filing, copying, scanning, data entry, and other administrative duties.
- Maintain accurate child and family contact information.
- Assist with attendance records and daily sign-in/sign-out procedures.
- Prepare correspondence, notices, forms, and family communications.
- Monitor office supplies and notify administration when materials are needed.
- Receive and distribute mail, deliveries, and program documents.
- Assist prospective families with basic enrollment information.
- Help collect required enrollment documents.
- Schedule tours, appointments, and family meetings as directed.
- Follow up with families regarding missing paperwork or required documentation.
- Support administrative staff with maintaining complete and organized child files.
- Monitor the front entrance and follow visitor identification and sign-in procedures.
- Never allow unauthorized individuals access to children or restricted areas.
- Follow approved child release and authorized pickup procedures.
- Immediately notify administration of safety concerns, emergencies, or suspicious activity.
- Maintain confidentiality of child, family, employee, and program information.
- Follow all center emergency and safety procedures.
- Communicate professionally in both English and Spanish.
- Assist with routine verbal communication between Spanish-speaking families and staff.
- Help explain program procedures and general information to Spanish-speaking families.
- Support translation of routine family notices and communications when appropriate.
- Ensure families are treated respectfully regardless of their primary language or cultural background.
- Refer complex, confidential, legal, medical, or specialized interpretation needs to administration when appropriate.
- High school diploma or GED required.
- Must be able to communicate effectively in English and Spanish.
- Previous receptionist, customer service, administrative, childcare, or school office experience preferred.
- Basic computer skills, including email, word processing, and data entry.
- Strong written and verbal communication skills.
- Ability to organize records and maintain accurate documentation.
- Ability to work professionally with children, families, staff, and community partners.
- Must meet all required background clearance and employment requirements applicable to the position.
- Experience working in a childcare center, preschool, school, or family-service environment.
- Experience assisting bilingual or multilingual families.
- Knowledge of early childhood education programs and enrollment procedures.
- Strong customer service and conflict-resolution skills.
