For this role in particular, you will have exposure to the Founder, US business operations, customers, partners, finance, and multiple aspects of the company's growth journey . This is therefore a role for someone who wants to understand the business as a whole—not simply perform a set of administrative tasks. About the Role This is not a traditional Executive Assistant / Personal Assistant role . We are looking for a Business Manager who can become a trusted execution partner to the Founder , with visibility across the company's US entity, finances, customers, vendors, business operations, and strategic priorities. The person in this role will be expected to understand what needs to be done, coordinate with the right people, track progress, identify gaps, proactively follow up, and ensure that important tasks are taken through to completion. You will work closely with the Founder, CA/accounting partners, customers, vendors, internal teams, and other external stakeholders, particularly in relation to the US entity. Key Responsibilities Founder / Executive Support · Manage the Founder's calendar, meetings, appointments, travel, and important commitments. · Prepare meeting agendas, track action items, and ensure timely follow-ups. · Maintain structured trackers for priorities, pending items, and commitments. · Coordinate with internal and external stakeholders on behalf of the Founder. · Independently follow up on delegated tasks and provide clear status updates. · Handle sensitive and confidential business information with complete discretion. US Entity & Business Operations · Support the day-to-day administration and operational management of the US entity. · Coordinate with US-based customers, vendors, service providers, accountants, lawyers, banks, and other external parties. · Maintain organized records of contracts, invoices, payments, subscriptions, correspondence, and other business documents. · Track recurring obligations, renewals, filings, subscriptions, and deadlines. · Proactively identify pending items and ensure they are completed accurately and on time. Finance & Accounting Coordination · Coordinate invoicing, Accounts Receivable (AR), and Accounts Payable (AP). · Ensure invoices are raised accurately and on time. · Track outstanding receivables and follow up on collections. · Coordinate vendor payments and supporting documentation. · Maintain organized financial records. · Coordinate with CA/bookkeeping/accounting partners for bookkeeping, reconciliations, tax-related requirements, and financial reporting. · Track cash movements and important financial commitments. · Identify and flag discrepancies, overdue receivables, unusual expenses, or missing documentation. Note: The role focuses primarily on coordination, oversight, accuracy, and follow-through. Detailed accounting and tax work may be handled by external CA/accounting partners. Business Coordination & Reporting · Coordinate cross-functional activities between the Founder, engineering, sales, operations, finance, and external partners. · Track important business initiatives and ensure owners meet deadlines. · Prepare concise status reports and business summaries for the Founder. · Maintain trackers/dashboards covering AR, AP, invoicing, vendor payments, contracts, renewals, business commitments, Founder action items, and US entity deadlines. · Highlight delays, risks, missing information, and matters requiring Founder intervention. · Research and gather information required for business decisions. What We Are Looking For · 8–10 years of experience in business management, executive assistance, operations, finance coordination, or a similar role. · Strong experience working directly with Founders, CEOs, CXOs, or senior leadership . · Excellent organizational, follow-up, and stakeholder-management skills. · Ability to independently manage multiple priorities in a fast-moving environment. · Strong written and verbal communication. · Strong attention to detail and numerical accuracy. · Comfortable working with invoices, payments, receivables, payables, and financial records. · Ability to coordinate effectively with CA/accounting firms and external service providers. · Strong proficiency in Excel / Google Sheets and common business productivity tools. · Ability to handle confidential information with discretion. · Strong ownership mentality — you take responsibility for getting things completed rather than simply passing information along. Preferred Experience · Experience supporting a US-based company or US business entity . · Experience with US invoicing, AR/AP, bookkeeping coordination, or vendor management. · Experience in a SaaS, technology, or startup environment . · Experience with QuickBooks, Xero, or similar accounting platforms . · Experience coordinating with US customers, vendors, accountants, or professional service providers. · CA Inter, CS, CMA, MBA, B.Com, M.Com, or similar qualification is an advantage, but not mandatory . What Success Looks Like · Within this role, success means the Founder has confidence that: · Important tasks and commitments are being tracked and followed through. · The US entity's administrative operations are well organized. · Invoices are raised correctly and on time. · Receivables and payables are accurately tracked. · Financial and business records are clean and easily accessible. · CA/bookkeeping activities are properly coordinated. · Deadlines, renewals, contracts, and recurring obligations are not missed. · The Founder receives timely visibility into important business matters. · Operational issues are identified early and resolved without unnecessary escalation. · The Founder can delegate a task and trust that it will be taken to completion. Compensation Compensation will be competitive and commensurate with the candidate’s capabilities, relevant experience, skill set, and overall suitability for the role. Given the broad and specialized nature of this position, the final CTC will be determined during the recruitment process based on the candidate’s demonstrated capabilities, prior experience, relevant exposure to US business operations, and the value they can bring to the Founder and the organization.
