Job Description
1. JOB PURPOSE
The Commercial Bid Coordinator supports the Bid Team of the organization by coordinating the preparation of fee proposals, tenders, prequalification submissions, consultancy agreements, and commercial documentation for new business opportunities.
The role is responsible for ensuring that all commercial submissions are accurate, competitive, compliant, and aligned with the company's strategic objectives. Working closely with the Bid Manager, Bid Team Lead, Project Directors, Design Teams, and Finance Department, the Commercial Bid Coordinator assists in developing fee proposals, resource schedules, commercial qualifications, and contractual submissions to support successful project acquisition.
The Commercial Bid Coordinator plays a key role in maintaining bid governance, commercial risk awareness, opportunity tracking, proposal documentation, and client submission requirements while ensuring timely delivery of high-quality commercial submissions.
2. JOB ACCOUNTABILITIES LINKED TO OBJECTIVES
• Support the preparation and submission of commercial proposals, fee submissions, tenders, RFQs, RFPs, EOIs, and prequalification documents.
• Coordinate fee proposal inputs with Bid Team Lead, Work Winning Director, Project Directors, Design Leads, Commercial Managers, and Finance teams.
• Assist in preparing fee breakdowns, manpower schedules, project resource allocations, and commercial pricing schedules.
• Review tender documents and identify commercial requirements, risks, exclusions, and contractual obligations.
• Maintain tender registers, bid trackers, opportunity pipelines, and submission schedules.
• Coordinate collection of commercial and technical information required for bid submissions.
• Prepare proposal documents, commercial schedules, qualification statements, and supporting appendices.
• Ensure compliance with client procurement requirements and submission instructions.
• Support commercial reviews and internal approval processes prior to submission.
• Coordinate consultant and subconsultant quotations and manage supporting commercial documentation.
• Maintain records of project opportunities, submitted bids, awarded projects, and lessons learned.
• Assist in the review and negotiation of consultancy agreements and contract documentation where required.
• Support post-bid clarifications, commercial negotiations, and client requests for additional information.
• Monitor tender portals and procurement platforms.
• Maintain and continuously improve databases for project references, company credentials, CVs, fee benchmarks, and commercial templates.
• Support the implementation of bid governance procedures and best commercial practices.
• Any other duties as required by management.
3. COMMUNICATION / INTERNAL / EXTERNAL
Internal – Bid Team, Business Development Team, Commercial Team, Project Managers, Architects, Engineers, Finance, Administration, and Senior Management.
• External – Clients, Consultants, Contractors, Suppliers, Joint Venture Partners, and Procurement Authorities.
4. MINIMUM QUALIFICATION / EXPERIENCE / TRAINING
• Degree in Business Administration, Commerce, Quantity Surveying, Finance, Engineering, Architecture, or a related discipline.
• Minimum 3–5 years of experience in commercial coordination, bid coordination, proposal management, tender administration, or contracts administration.
• Previous experience within Architecture, Engineering, Construction (AEC), Project Management Consultancy, or Professional Services environments.
• Understanding of AEC fee structures, commercial proposals, and tender processes.
• Familiarity with consultancy agreements and contract administration principles.
• Strong analytical, numerical, and commercial awareness skills.
• Advanced proficiency in Microsoft Excel, Word, and Power Point.
• Experience preparing fee schedules, resource plans, and commercial submission documentation.
• Strong organizational skills with the ability to manage multiple deadlines simultaneously.
• UAE/GCC consultancy experience preferred.
• Keen interest and experience in usage of analytical AI tools
