Role Purpose
Convert qualified enquiries into well-informed admissions by guiding parents and students through every stage of the decision journey - from first contact and campus visit to application, assessment, enrolment, and fee completion. The role combines empathetic counselling, disciplined follow-up, accurate CRM management, and ethical representation of the school.
KEY RESPONSIBILITIES
Parent & Student Counselling
• Respond to assigned enquiries from calls, website forms, campaigns, walk-ins, referrals, school fairs, and other approved sources within the defined response-time standard.
• Conduct structured discovery conversations to understand the child's grade, current school, learning needs, location, curriculum interest, boarding preference, decision timeline, and the family's key concerns.
• Explain the Dalhousie Public School’s campus proposition, curriculum pathways, day and boarding options, campus life, student wellbeing systems, fee structure, and admission process accurately and confidently.
• Counsel families on institutional fit rather than using transactional selling; build trust through clarity, responsiveness, and honest expectation-setting.
• Address common parent concerns around boarding, safety, distance, transition, curriculum, fees, academic support, activities, and student development without making unapproved commitments.
Lead Management & Conversion
• Own the assigned lead pipeline from enquiry to fee-paid admission, with clear next actions and follow-up dates at every stage.
• Maintain complete and current CRM/ERP records, including call notes, lead source, stage, parent requirements, objections, probability, next action, and closure reason.
• Follow the approved multi-touch counselling and nurture cadence across calls, Whats App, email, webinars, and campus invitations.
• Convert enquiries into campus visits, applications, assessments, offers, and confirmed admissions.
• Re-engage dormant and ageing leads systematically and close non-viable leads with accurate reasons rather than leaving them inactive.
Campus Visits & Admission Events
• Schedule and host personalised campus visits that reflect the family's priorities and the child's age and admission pathway.
• Coordinate with academic leaders, house parents, boarding, transport, sports, and administration teams so each visit is organised and relevant.
• Support open houses, webinars, school fairs, outreach events, and parent information sessions, including post-event follow-up.
• Record visit outcomes, parent feedback, objections, and agreed next steps in the CRM on the same day.
Application & Admission Process Coordination
• Guide parents through application forms, document requirements, assessment scheduling, interviews, offers, fee payment, and onboarding milestones.
• Coordinate with academic, finance, transport, boarding, administration, and IT/ERP teams to remove process delays and provide accurate updates to families.
• Verify that applications and supporting documents are complete before moving a case to the next stage.
• Maintain confidentiality of student and family information and follow the school's admission policies, fee rules, and approval protocols.
Reporting & Market Feedback
• Share daily pipeline updates and participate in weekly conversion reviews with clear status, risks, and next actions.
• Track recurring parent questions, objections, competitor references, and lead-quality issues and share them with the admissions and brand teams.
• Use approved scripts, FAQs, fee sheets, programme descriptions, and brand vocabulary consistently across all parent communication.
• Meet assigned conversion, productivity, data-quality, and parent-experience standards.
KEY PERFORMANCE INDICATORS
• Lead response time and successful contact rate.
• Enquiry-to-visit conversion and campus-visit attendance rate.
• Visit-to-application, application-to-offer, and offer-to-fee-paid conversion.
• Half year and annual admission target achievement.
• Follow-up compliance, lead ageing, CRM completeness, and closure-reason accuracy.
• Quality of parent engagement, communication turnaround time, and escalation management.
REQUIRED SKILLS & EXPERIENCE
Must-Have
• 2-4 years of experience in school admissions, education counselling, hospitality sales, customer acquisition, or another high-consideration parent/customer-facing role.
• Strong verbal and written communication in English and Hindi, with the ability to explain complex information simply and persuasively.
• Demonstrated ability to manage follow-ups, objections, and targets without compromising transparency or parent trust.
• Working knowledge of CRM/ERP systems, spreadsheets, email, Whats App-based communication, and structured pipeline management.
• High attention to detail in documentation, data entry, fee communication, and process coordination.
• Professional presence, emotional maturity, listening ability, and sensitivity while engaging parents and children.
• Ability to work on selected weekends, school events, and extended hours during peak admission periods.
Good-to-Have
• Prior experience in a premium K-12, boarding, international, or multi-curriculum school.
• Experience counselling families for boarding, relocation, or high-value educational decisions.
• Working proficiency in Punjabi.
• Exposure to admissions events, webinars, school fairs, or campus-tour management.
Qualifications
• Bachelor's degree in any discipline; a postgraduate qualification in Communication, Psychology, Business, Marketing, or Education is preferred.
