- Support medical providers with day-to-day administrative and clinical office needs.
- Coordinate and schedule medical management appointments.
- Communicate with patients regarding appointments, follow-ups, medication-related questions, and provider instructions.
- Assist providers with prescription refill requests and pharmacy communication.
- Contact pharmacies regarding prescriptions, medication availability, and related issues as directed by the provider.
- Assist with prior authorizations and insurance-related requests.
- Verify patient insurance coverage and assist with obtaining necessary authorization information.
- Maintain accurate and timely patient records and documentation.
- Assist with obtaining required patient forms, consents, treatment agreements, and other documentation.
- Track provider follow-up appointments and assist with ensuring patients remain engaged in recommended medication-management appointments.
- Communicate provider instructions to patients and other appropriate members of the treatment team.
- Assist with coordination between medical providers, therapists, case managers, and other agency staff.
- Handle confidential patient information in accordance with HIPAA and agency policies.
- Assist with medical management paperwork, reports, forms, and administrative tasks.
- Monitor incoming messages and route clinical questions to the appropriate provider.
- Maintain organized records and follow established agency procedures.
- Provide professional and compassionate customer service to patients and families.
- Perform other administrative duties related to medical management as assigned.
- High school diploma or equivalent.
- Previous experience in a medical office, behavioral health, mental health, healthcare, or administrative setting preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work independently while also functioning effectively as part of a team.
- Strong attention to detail and ability to follow established procedures.
- Basic computer skills and ability to learn electronic medical record and scheduling systems.
- Experience working with psychiatric or behavioral health providers.
- Experience with medication management.
- Experience communicating with pharmacies and insurance companies.
- Experience with prior authorizations or insurance verification.
- Familiarity with HIPAA requirements and behavioral health documentation.
- Experience with electronic health records.
