Job Description

Job Summary: We are seeking an experienced and proactive Senior Administration professional to oversee and manage the organization's administrative operations. The candidate will be responsible for ensuring smooth day-to-day office functioning, vendor management, facility management, asset management, and compliance with administrative policies and procedures. Key Responsibilities: Administration & Facility Management Oversee daily administrative operations and ensure smooth office functioning. Manage office facilities, housekeeping, security, transport, and maintenance activities. Coordinate with vendors and service providers for office-related requirements. Ensure proper utilization and maintenance of office infrastructure and assets. Vendor & Procurement Management Identify, negotiate, and manage relationships with vendors and suppliers. Handle procurement of office supplies, equipment, and services. Monitor vendor performance and ensure timely contract renewals. Asset Management Maintain records of company assets and inventory. Conduct periodic audits of office assets and equipment. Ensure proper allocation and tracking of assets. Compliance & Documentation Ensure compliance with organizational policies and statutory requirements related to administration. Maintain administrative records, agreements, licenses, and documentation. Coordinate with internal teams and external agencies for audits and inspections. Budget Management Prepare and monitor administration budgets. Control operational expenses and identify cost-saving opportunities. Generate periodic reports on administrative expenditures. Team Management Supervise administrative staff, housekeeping personnel, security staff, and support teams. Allocate tasks and monitor performance. Conduct training and development activities for the administration team. Event & Travel Coordination Manage office events, meetings, conferences, and employee engagement activities. Coordinate domestic and international travel arrangements, accommodation, and logistics for employees and visitors. Required Qualifications: Bachelor's degree in Business Administration, Management, or a related field. MBA or relevant certification will be an added advantage. Required Skills: Strong administration and facility management experience. Excellent vendor management and negotiation skills. Budgeting and cost-control expertise. Strong leadership and team management abilities. Proficiency in MS Office (Excel, Word, PowerPoint). Excellent communication and interpersonal skills. Strong problem-solving and organizational skills. Preferred Experience: Experience managing large office facilities and multiple locations. Exposure to educational institutions, corporate offices, or service industries. Experience handling administration teams of 5 members.
