Job Description

ROLE OVERVIEW

The Training Coordinator is a behind-the-desk operations role within the Learning Experience team, reporting to the Head – Learning Experience and working closely with the Content Developer. This person is the engine room that keeps our large, multi-country learning programmes running flawlessly — owning project plans, logistics, scheduling, trackers, and coordination so that facilitators, clients, and learners always have a seamless experience.

A typical programme might be a six-month intervention for 100 managers across 10 countries — three-day workshops followed by group coaching, peer learning circles, and LXP-based learning. The Training Coordinator orchestrates all the moving parts: building the project plan, blocking calendars, sending reminders and joining instructions, maintaining Excel trackers, and coordinating with the client's team to keep everything on schedule

The core of this role: exceptional organisation, attention to detail, speed and efficiency, and the ability to juggle many moving parts at once without dropping a single thread. Client interaction is limited and operational; this is primarily a coordination and project-management role.

KEY RESPONSIBILITIES

1. Project Planning & Coordination

• Build and maintain detailed project plans for multi-month, multi-country learning programmes, from kick-off to closure.

• Track milestones, dependencies, and deadlines across workshops, coaching, peer learning circles, and LXP activities.

• Anticipate bottlenecks, flag risks early, and keep every workstream on schedule.

• Maintain a single source of truth for programme status that the team and client can rely on.

2. Scheduling & Calendar Management

• Block and manage calendars for facilitators, coaches, participants, and client stakeholders across multiple time zones.

• Schedule workshops, coaching sessions, and peer learning circles, resolving conflicts and time-zone complexities.

• Set up virtual sessions (Zoom/Teams), generate joining links, and manage invites and rescheduling.

3. Logistics & Operations

• Coordinate all logistics for in-person and virtual programmes — venues, materials, participant lists, attendance, and pre-work.

• Prepare and distribute participant communications: reminders, joining instructions, pre-work nudges, and follow-ups.

• Ensure facilitators and coaches have everything they need, on time, for every session.

• Manage programme documentation, records, and version control.

4. Trackers, Reporting & Data

• Build and maintain Excel trackers for attendance, progress, completion, feedback, and programme health.

• Produce clear, accurate status updates and reports for the internal team and client.

• Consolidate feedback and evaluation data and present it in a usable format.

• Maintain meticulous, error-free records across all programmes.

5. Client & Stakeholder Coordination

• Coordinate operationally with the client's L&D/programme team on scheduling, nominations, logistics, and reminders.

• Serve as a reliable, responsive operational point of contact for day-to-day programme running.

• Keep internal and client stakeholders aligned and informed on timelines and next steps.

6. Automation & Efficiency

• Use automation, templates, and tools to streamline reminders, scheduling, tracking, and reporting.

• Identify and implement ways to run programmes faster and more efficiently over time.

• Support LXP administration — enrolments, reminders, progress tracking, and learner nudges.

SKILLS & COMPETENCIES Core Skills (Mandatory)

• Outstanding attention to detail — accuracy is non-negotiable.

• Strong organisation, planning, and time-management skills.

• Proven ability to multitask and manage many concurrent workstreams calmly.

• Speed and efficiency — able to move fast without sacrificing quality.

• Advanced Excel skills (trackers, formulas, formatting, data consolidation).

• Confident calendar management and scheduling across multiple time zones.

• Clear, professional written and verbal communication.

Technical & Tools

• Proficiency in MS Office Suite — especially Excel; also Word, PowerPoint, Outlook.

• Comfort with collaboration and scheduling tools (Teams, Zoom, calendars, shared drives).

• Familiarity with, or quick ability to learn, Learning Experience Platforms (LXP) / LMS administration.

• Ability to use automation and productivity tools (e.g. templates, mail-merge, scheduling automation, AI assistants) to work efficiently.

Behavioural Competencies

• High ownership and reliability — things get done, on time, without being chased.

• Calm under pressure and comfortable managing ambiguity and shifting priorities.

• Proactive and anticipatory — spots issues before they become problems.

• Service mindset toward facilitators, clients, and learners.

• Team player who thrives in a fast-paced, collaborative environment

EXPERIENCE REQUIREMENTS

• 3–5 years of experience in project coordination, training/L&D operations, programme management, or a similar coordination-heavy role (mandatory).

• Demonstrated experience managing logistics and schedules for multiple concurrent projects or events.

• Hands-on experience building and maintaining Excel trackers and project plans.

• Experience coordinating across teams, stakeholders, and (ideally) time zones.

• Exposure to L&D, training, consulting, or professional services environments (preferred).

• Experience with LXP/LMS platforms and automation tools (preferred).

QUALIFICATIONS

• Bachelor's degree in any discipline (mandatory); qualifications in business, management, or HR are an advantage.

• Certification or training in project management or coordination (e.g. project management fundamentals) is a plus, not a requirement.

WHAT WE OFFER

• A pivotal role at the heart of high-impact global leadership programmes.

• A collaborative, fast-paced environment where great execution is genuinely valued.

• Exposure to marquee global clients and world-class learning design and delivery.

• Opportunities to learn new tools, automation, and learning technology.

• Competitive compensation aligned with industry benchmarks, and room to grow.
