About the Role

We’re looking for a smart, proactive, and highly organized Personal Assistant & HR Coordinator to work closely with the leadership team at Hyland Media .

This role sits at the center of our operations — managing leadership schedules, internal coordination, and communication flow, while also supporting HR functions such as recruitment, onboarding, and team engagement.

Key ResponsibilitiesExecutive & Team Assistance (Primary Focus)

• Manage calendars, schedules, and appointments for leadership and senior management.
• Coordinate meetings — prepare agendas, take minutes, and ensure timely follow-ups.
• Act as the central communication link between leadership, internal teams, and external stakeholders.
• Prepare presentations, reports, and documents for both internal use and client-facing needs.
• Support creative, digital, and PR teams with campaign coordination and task tracking.
• Handle travel arrangements, vendor coordination, and expense tracking.
• Identify operational inefficiencies and proactively ensure smooth day-to-day workflows.

Qualifications & Skills

• Bachelor’s or Master’s degree in Business Administration, HR, or related field.
• 1–2 years of experience as an Executive Assistant, Team Coordinator, or HR Executive.
• Strong organizational and multitasking capabilities.
• Excellent written and verbal communication skills.
• Ability to thrive in a dynamic, fast-paced agency environment.
• Proficiency in MS Office, Google Workspace, and HR tools is a plus.
