Role Overview
Immigration Case Assistant will manage end-to-end visa and immigration case files on behalf of Loch's clients, from initial document intake through to final submission and outcome tracking. This is an experienced, client-facing role requiring sound working knowledge of visa categories, documentation requirements, and processing procedures across relevant jurisdictions. The Immigration Case Assistant will act as the primary point of contact for assigned cases, ensuring accuracy, compliance, and timely progression at every stage.
Key Responsibilities
•Manage a caseload of visa and immigration applications from intake through to submission and resolution
•Review client documentation for completeness and accuracy against applicable visa category requirements
•Prepare and quality-check visa applications, supporting statements, and supplementary documentation
•Liaise directly with clients to request information, provide status updates, and manage expectations
•Correspond with relevant consulates, embassies, and immigration authorities as required
•Track case status and deadlines across a caseload, escalating time-sensitive or high-risk matters promptly
•Maintain accurate and complete case files in accordance with Loch's document management protocols
•Stay current on changes to visa policy, processing requirements, and regulatory guidance across relevant jurisdictions
•Identify and flag complex or unusual cases for senior review
•Support the training and guidance of junior case support staff as required
Key Deliverables
•All assigned cases progressed within agreed service level timeframes
•Documentation prepared and submitted with a high standard of accuracy and completeness
•Client communications handled professionally and within agreed response times
•Case files maintained in an organised, audit-ready state at all times
•Complex cases identified and escalated appropriately with no missed deadlines
Required Skills and Attributes
•Strong working knowledge of visa categories, documentation, and application procedures across relevant jurisdictions
•High accuracy and attention to detail when reviewing and preparing case documentation
•Excellent client-facing communication skills, both written and verbal
•Ability to manage a varied caseload and prioritise competing deadlines
•Sound judgement in identifying and escalating complex or sensitive cases
•Proficiency with Microsoft Office Suite and case management systems
•Discretion in handling confidential personal and client information
Qualifications
•Bachelor's degree in Law, International Relations, Business, or a related field
•Three to four years of experience in visa case management, immigration services, or a closely related role
