Position Summary: Florida Atlantic University is seeking an Administrative Specialist. - Boca Raton, FL. The Administrative Specialist provides personalized assistance to new students and their families from admission to graduation. This role works with the community to provide quality transitional experiences that maximize students' ability to achieve their dreams, goals and optimize their potential. Summary of Responsibilities:
- Orientation reservation system (Campus ESP) – oversight of all incoming student types in reservation platform.
- Lobby Central – log in-person office visits and phone calls.
- Divisional Volunteer Requests – manage event needs for the Department.
- Inventory tracking – oversee the resource closet for events and orientation programs.
- Office supply ordering – oversee the ordering of all office and event supplies needed
- Serve as liaison to the Student Call Center.
- Lead on continuity of operations & emergency response plans.
- In collaboration with the Director, oversee finances for the Department as a whole.
- Coordinate classroom-use schedule and logistics (including technology requirements),
- Develop tour scripts for student leaders and keep up to date.
- Oversight of all Departmental email accounts.
- Oversight of hold removals for orientation and the career center (career module holds).
- Answer emails and phone calls regarding Fit first-year related registration first-year.
- Supervise front desk staff.
- Report to Director of New Student Transitions & Family Engagement.
- Perform other job-related duties as assigned.
