About the Role
We are looking for an experienced and highly organized HR & Operations Manager who can independently manage HR operations, employee engagement, recruitment, staffing operations, performance management, and day-to-day workforce activities.
The ideal candidate should have hands-on experience working in the IT Staffing / US Staffing industry, managing recruiters and employees, handling recruitment operations, maintaining HR processes, and ensuring smooth coordination between management and staffing teams.
This is a night-shift role aligned with US business hours, and candidates should be comfortable working from 6:30 PM to 3:30 AM IST.
Key Responsibilities
Recruitment & Staffing Operations
- Manage end-to-end recruitment activities for internal hiring and staffing requirements.
- Handle recruitment for IT Recruiters, US IT Recruiters, Business Development Managers, Account Managers, Sales professionals, and other operational positions.
- Work closely with management and department heads to understand hiring requirements.
- Manage job postings, sourcing, screening, interviews, offer negotiations, and onboarding.
- Monitor recruiter productivity and overall recruitment performance.
- Maintain recruitment pipelines and ensure timely closure of open positions.
- Support US Staffing operations and coordinate with recruiting, sales, account management, and delivery teams.
- Ensure staffing teams follow defined recruitment processes, reporting structures, and performance expectations.
Employee Management
- Manage employees throughout the complete employee lifecycle.
- Handle onboarding, orientation, documentation, probation reviews, confirmations, promotions, transfers, and exits.
- Maintain employee attendance, leave records, shift schedules, and HR documentation.
- Monitor employee performance, productivity, discipline, and workplace conduct.
- Coordinate performance reviews and improvement plans with managers.
- Address employee concerns, grievances, workplace issues, and internal conflicts professionally.
- Conduct regular employee engagement and feedback sessions.
- Support managers in improving team productivity, accountability, and retention.
HR Operations
- Develop and implement HR policies, SOPs, processes, and internal guidelines.
- Maintain accurate employee records and confidential HR documentation.
- Prepare offer letters, appointment letters, confirmation letters, increment letters, warning letters, experience letters, relieving letters, and other HR documentation.
- Manage leave, attendance, holiday calendars, employee databases, and HR reports.
- Coordinate payroll inputs including attendance, leaves, incentives, deductions, and employee changes.
- Ensure compliance with company policies and applicable employment requirements.
- Maintain proper documentation for audits and management reviews.
Operations Management
- Oversee daily office and staffing operations during the US shift.
- Coordinate between HR, recruitment, sales, business development, account management, and leadership teams.
- Track daily, weekly, and monthly team performance.
- Ensure employees follow work schedules, reporting processes, productivity expectations, and operational standards.
- Identify operational gaps and implement process improvements.
- Prepare management reports related to recruitment, attendance, employee performance, attrition, hiring, and operations.
- Support management with workforce planning and organizational growth initiatives.
- Ensure smooth communication between India-based teams and US business operations.
Performance & Employee Engagement
- Establish measurable KPIs and performance standards for employees.
- Conduct regular performance reviews with department managers.
- Track recruiter and staffing team performance against targets.
- Identify underperformance and coordinate Performance Improvement Plans where required.
- Develop employee engagement initiatives to improve retention and workplace culture.
- Organize team activities, recognition programs, celebrations, and employee communication initiatives.
- Build a professional, accountable, and performance-driven workplace culture.
Required Skills & Experience
- 4+ years of experience in HR, Recruitment, Operations, or Staffing Management.
- Previous experience in IT Staffing / US Staffing is strongly preferred.
- Strong understanding of the US Staffing recruitment lifecycle.
- Experience managing recruiters and staffing employees.
- Strong knowledge of recruitment, onboarding, employee relations, performance management, and HR operations.
- Experience handling employee grievances and workplace issues.
- Strong leadership and people-management skills.
- Excellent verbal and written communication skills.
- Strong organizational and problem-solving abilities.
- Ability to manage multiple priorities independently.
- Comfortable working with recruitment targets, KPIs, and performance metrics.
- Proficiency in MS Office / Google Workspace and HR or recruitment management systems.
- Ability to maintain confidentiality and handle sensitive employee information professionally.
- Experience managing performance, attendance, retention, and employee engagement.
- Ability to work closely with founders, senior management, and department heads.
Shift Requirement
Working Hours: 6:30 PM – 3:30 AM IST
Candidates must be comfortable working permanently in the US staffing/night shift .
