Stipend: Rs. 40,000 - 45,000 pre month CTC

ABOUT THE ROLE

Shishya Jigyasa Academy, part of the Sri Krishna Education Trust, is looking for an organised, personable professional to own the front-line admissions experience, parent relations, and day-to-day campus administration at the Academy. This is an individual-contributor role reporting to the Principal, working closely with the other functions to ensure a smooth, well-documented, and parent-friendly admissions cycle alongside efficient campus operations.

KEY RESPONSIBILITIES

• Admissions Enquiry & Counselling: Serve as the first point of contact for admission enquiries — walk-ins, calls, and online leads — providing accurate information on programmes, fees, and eligibility.

• Counsel prospective parents/students on curriculum, fee structure, and process; conduct campus tours and coordinate meetings with academic heads/Principal where required.

• Maintain and update the admissions enquiry tracker/CRM, following up on leads through to conversion and closure within agreed timelines.

• Admissions Processing & Documentation: Manage end-to-end admission formalities — application forms, document verification, eligibility checks, seat allotment, and fee collection coordination.

• Ensure all admission records (forms, ID proofs, transfer certificates, previous mark-sheets) are complete, accurate, and audit-ready, in line with CBSE/Cambridge/university norms as applicable.

• Coordinate entrance tests/interactions, scheduling, result communication, and waitlist management during the admissions season.

• Prepare regular admissions MIS — enquiries, conversions, seat occupancy, fee status — for the Principal and Chief of Staff.

• Front Office & Campus Administration: Own front-office operations — reception, visitor and call management, courier/dispatch, and general enquiries — ensuring a professional first impression of the campus.

• Coordinate day-to-day administrative activities: stationery and supplies, housekeeping and facilities upkeep requests, ID cards, and asset/inventory records.

• Support scheduling and logistics for campus events, parent-teacher meetings, orientation programmes, and admission-season open houses.

• Liaise with vendors and service providers (transport, cafeteria, housekeeping, security, printing) for routine administrative needs and basic invoice/PO tracking.

• Parent Relations: Serve as a primary, day-to-day point of contact for parents on admissions status, fee queries, documentation, and general school matters, ensuring timely and courteous responses.

• Build and maintain positive, trust-based relationships with parents through the admissions journey and beyond, setting accurate expectations on process, timelines, and school policies.

• Coordinate parent communication for circulars, events, PTMs, and orientation sessions; maintain parent contact records and communication logs.

• Address parent queries and concerns promptly, escalating sensitive or unresolved issues to the Principal/Campus Head with context and recommended next steps.

• Gather parent feedback (post-admission, post-event) and share themes with school leadership to help improve the parent experience.

• Records, Compliance & Coordination: Maintain student and administrative records (physical and digital) in an organised, retrievable, and confidential manner.

• Support statutory and regulatory documentation related to admissions and school administration (affiliation records, inspection files, RTE/board compliance as applicable).

• Act as the administrative liaison between the campus and the Trust's central teams — HR, finance, and the Chief of Staff's office — for approvals, reporting, and escalations.

• Assist with basic HR-adjacent administrative tasks at the campus level (attendance registers, ID/access, onboarding logistics for new joiners) in coordination with the HR SPOC.

TECHNICAL SKILLS

• Working knowledge of MS Office/Google Workspace for correspondence, MIS, and reporting; comfortable with admissionsCRM/ERP or willing to learn quickly.

• Familiarity with school/college admission processes, documentation requirements, and academic calendars(CBSE/Cambridge/university, as relevant to the campus).

• Sound record-keeping and filing discipline — physical and digital — with attention to data accuracy and confidentiality.

• Basic understanding of fee structures, receipting, and coordination with the finance/accounts team.

• Comfortable drafting routine correspondence, circulars, and notices in professional English.

BEHAVIOURAL SKILLS

• Warm, articulate, and parent-facing — able to represent the institution's brand and values confidently during admissions interactions.

• High energy, organised self-starter who can manage multiple, time-bound admissions and administrative tasks without close supervision.

• Detail-oriented with strong follow-through on documentation, deadlines, and commitments made to parents.

• Collegial and cooperative — works smoothly across academics, administration, finance, and HR with minimal friction.

• Calm and solution-oriented under the pressure of peak admissions season and campus operational demands.

• Trustworthy with confidential student, family, and institutional information.

QUALIFICATIONS & EXPERIENCE

• Graduate in any discipline; a PG diploma/certification in administration, front-office management, or education management is a plus.

• ~2–4 years of relevant experience in admissions, front-office, or administrative roles, ideally in a school, college, or other service-oriented setting (education sector experience preferred but not mandatory).

• Prior exposure to a multi-stakeholder campus environment (academics, parents, finance, management) is an advantage.
