Intake & Placement Coordinator — Training Provided
Family Services of America · Fayetteville, NC · Full-Time · $19.00–$21.00 per hour
Family Services of America is a CARF-accredited nonprofit providing therapeutic foster care, family foster care, and outpatient behavioral health services to children and families in Cumberland County and the surrounding area. We are hiring an Intake & Placement Coordinator to manage the referrals that come to us every day and to carry each accepted child through to a complete, correct admission.
This is the role where a child’s placement begins. County social workers call us when they need a home for a child, often the same day. You are the person who answers, checks what we have available, responds within 24 hours, and then makes sure every document, consent, authorization, and medical appointment is in place before that child is handed to a case manager.
No prior child welfare or healthcare experience is required. If you are organized, dependable, and the kind of person who finishes what they start, we will train you. This is a permanent full-time position with a structured 90-day training plan and a wage increase on successful completion.
What You Will Do
- Take in foster care placement referrals from county agencies and log every one the day it arrives.
- Check referrals against available beds and respond to the county within 24 hours — yes or no, every time.
- Record why we declined a referral, so we can show where our capacity gaps are.
- Own the admission paperwork from start to finish: placement agreement, consents, authorization request, Medicaid verification, physician documentation, and medical and dental appointments.
- Make sure every admission packet is complete before it goes to the case manager.
- Keep the bed board current so everyone knows what is actually available.
- Take in outpatient therapy referrals and manage the waiting list, staying in contact with every family waiting for a clinician.
- Track service authorizations and start renewals before they expire.
- Report weekly numbers on referrals, placements, and capacity.
What We Are Looking For
- High school diploma or GED.
- Organized, and able to carry a multi-step process through to the end without losing a step.
- Strong attention to detail — dates, names, and numbers right the first time.
- Comfortable working against a next-day deadline without getting flustered.
- Professional on the phone with county workers, families, and foster parents.
- Able to keep confidential information confidential, without exception.
- Basic computer skills (Microsoft Office or Google Workspace) and willingness to learn our records system.
- Valid NC driver’s license. Three professional references required. Must pass a criminal background check and required registry clearances.
Nice to Have (Not Required)
- Experience in child welfare, foster care, social services, healthcare admissions, or a medical office.
- Familiarity with Medicaid or service authorizations.
- Interest in social work, psychology, healthcare administration, or public service.
- Bilingual ability.
Training and Growth
You will be trained on our programs, confidentiality and HIPAA requirements, our records system, the referral process, and the full admission documentation chain. Your first 30 days are foundations and shadowing, days 31–60 are supervised practice with your supervisor co-signing your work, and by day 90 you are running the process yourself and reviewed on the FSA 90-day appraisal, with a wage step on successful completion. This role builds directly transferable skills in child welfare admissions, healthcare administration, and authorization coordination.
Schedule, Pay, and Location
- Full-time, 40 hours per week, Monday through Friday.
- $19.00 per hour during the training period; $21.00 per hour upon successful conversion at 90 days.
- On-site at 5302 Yadkin Rd., Fayetteville, NC 28303.
