Role Description This is a full-time on-site role as a Procurement & Inventory Management Executive at smoothmix in Vadodara, Gujarat. You'll own the full loop from raising a purchase order to closing it: selecting and negotiating with vendors, receiving and quality-checking goods, matching invoices before they're paid, and keeping the stock master accurate. You'll set reorder points so no hero SKU ever runs dry, run the cycle counts that catch variance early, and report on stock health so decisions get made before a shortage happens, not after. Work Timings Mon - Sat 10:30 AM - 6:30 PM Qualifications Strong analytical and numerical skills Ability to prioritize and multitask effectively Excellent organizational and time management skills Bachelor's degree in Supply Chain, Commerce, Business Administration, or related field 3 years of experience in procurement or inventory management preferred Key Responsibilities Demand Planning & Inventory Control Set and maintain reorder points, safety stock, and min/max levels for every SKU's raw material, packaging, and consumables Run weekly cycle counts against system records and flag variances Anticipate volume ramps and pre-position stock ahead of demand spikes Maintain buffer stock on long-lead and single-source materials Procurement & Purchasing Raise, track, and close purchase orders against approved requisitions Negotiate price, payment terms, and MOQs with suppliers Maintain 2 qualified suppliers per critical material Benchmark and consolidate orders to cut per-unit and freight cost Inbound & Delivery Management Receive and verify inbound deliveries against PO for quantity, quality, and documents Run quality checks on raw material and reject or quarantine off-spec stock Coordinate dispatch timing with suppliers and production Raise and track short-supply or damage claims with vendors Invoicing, Documentation & Compliance Match every supplier invoice against its PO and GRN before approving payment Verify GST fields, HSN codes, and invoice serials on inbound invoices Enter verified purchase and inventory transactions into Tally Maintain a filed, searchable archive of POs, GRNs, invoices, and vendor contracts Reporting & Systems Hygiene Produce weekly and monthly stock, consumption, and reorder reports Reconcile physical stock to system records monthly Keep the stock master, vendor master, and PO tracker clean and current Flag stockout risk, cost spikes, or vendor issues early, with a proposed fix Cost & Continuous Improvement Track landed cost per SKU and surface drift that threatens margin Document and refine procurement and inventory SOPs Rate suppliers on price, quality, reliability, and lead time Required Skills Purchase-order management Vendor negotiation Inventory control: reorder points, safety stock, cycle counting 3-way matching (PO-GRN-Invoice) Landed-cost analysis GST invoice verification Attention to detail Listening and questioning skills Required Knowledge Procurement and supply-chain fundamentals: lead time, MOQ, safety stock, EOQ Inventory accounting basics and GST/HSN rules for purchases Tally and Microsoft Excel/Google Sheets Familiarity with ERP or inventory software (Odoo, Zoho Inventory, Unicommerce) is a plus Quality parameters for raw materials is a plus, will be trained internally Our website:
