Job Summary

Administrative & Performance Support

At the direction of the Comptroller and Deputy Comptroller, assists with implementing policies and procedures for internal departments. Builds positive working relationships with staff, departments, and partner agencies to support coordination and efficient operations. Develops and maintains tracking tools, reporting systems, and operational documentation. Works with departments to develop and track program goals, operational priorities, and performance measures. Prepares reports, dashboards, spreadsheets, and presentations using tools such as Excel, Power BI, or similar software to help leadership monitor operations and performance. Reviews processes and workflows to identify inefficiencies, service gaps, and areas for improvement. Communicates findings, recommendations, and project updates through reports, presentations, and visual materials. Assists with analyzing customer service and operational issues and helps departments identify opportunities to improve operations, reporting, customer service, and overall effectiveness. Helps coordinate projects by tracking timelines, assignments, milestones, and follow-up items.

Operations & Coordination

Works with departments to prepare, update, and maintain Standard Operating Procedures (SOPs) and annual continuity of operations (COOP) plans. Assists with reviewing and resolving operational concerns related to departmental processes and service delivery. Coordinates fleet management activities for the Office of the Comptroller, including serving as liaison with the Department of General Services regarding vehicle maintenance and repair. Assists with ensuring compliance with City motor vehicle policies and procedures. Serves as a point of contact for departmental Safety Champions and assists with coordinating safety-related communication and activities. Supports operational meetings, tracks action items, and assists departments with implementation of operational initiatives and special projects.

Research & Communications

Conducts research and gathers information on industry best practices, operational trends, and government innovation. Assists with identifying opportunities to improve efficiency, customer service, and departmental operations. Maintains knowledge of current practices related to performance management, operations, and public sector service delivery. Works with Communications staff to prepare department briefs, presentations, reports, and informational materials. Assists with preparing executive summaries, visual reports, and presentation materials for leadership and stakeholders.

Essential Functions

  • Receives dictation of letters and reports and transcribes material into desired typed format; proofreads typed copy; corrects spelling, grammar and punctuation.
  • Produces typed copy from written communication and types of similar materials as above from rough written copy; proofreads typed copy; corrects spelling, grammar, and punctuation.
  • Maintains filing system by taking file folders, categorizing materials according to established system, and searching files for materials needed.

Minimum Qualifications

Education: Graduation from an accredited college or university with bachelors degree in public administration, political science, management, social science, or a related field. Some internship, fellowship, volunteer or work experience involving research, administrative support, project coordination, customer service, data tracking, reporting or office operations is preferred.

Equivalency Notes: Have an equivalent combination of education and experience.

Background Check

Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening, and must be successfully completed.

Probation
