Project Coordinator (Architecture & Interior Project Execution)

A multidisciplinary architecture and interior design practice in Girgaon, Mumbai is hiring a Project Coordinator with 2–3 years of hands-on experience in interior fit-out or architectural project execution. This is a site-facing role responsible for coordinating execution, schedules, procurement, documentation, budgets, vendors, contractors and project stakeholders from mobilisation through handover.

Project Exposure

The role may involve:

• Interior fit-out and architectural execution
• Residential, hospitality, workplace and retail projects
• Coordination between design development, documentation and site execution
• Procurement, vendor coordination and project delivery

Key Responsibilities

• Conduct regular site visits to monitor progress, workmanship, quality and material availability.
• Maintain daily site updates and project notes using Notion or similar documentation tools.
• Prepare and maintain Gantt charts and project schedules, identify delays and coordinate corrective actions.
• Prepare, review and maintain Bills of Quantities (BOQs) for project requirements.
• Coordinate procurement, including material sourcing, vendor communication, purchase orders and deliveries.
• Maintain site documentation covering material requirements, RFIs, approvals and daily labour or contractor attendance.
• Prepare weekly site visit updates and documentation packages for the Architect, Interior Designer and Studio Director.
• Track project budgets and reconcile expenditure against BOQs and approved requirements.
• Coordinate with contractors, vendors, consultants and clients to resolve execution-related requirements.
• Coordinate between design information and site requirements to support accurate project execution.
• Maintain project records, schedules, procurement information and site documentation throughout the project lifecycle.
• Monitor site health, safety, cleanliness and general execution conditions.

Requirements

• Bachelor’s degree in Civil Engineering, Architecture or a related field.
• 2–3 years of hands-on experience in interior fit-out or architectural project execution in a site-facing role.
• Experience leading or closely managing at least two projects from mobilisation through handover.
• Strong understanding of architectural execution and site coordination.
• Experience preparing or working with BOQs and site schedules.
• Strong working knowledge of MS Excel or Google Sheets.
• Working proficiency with AI tools such as ChatGPT, Notion AI or similar is mandatory, with the ability to use them for documentation, reporting, scheduling or project workflows.
• Demonstrated use of AI to improve project management, scheduling, documentation or site operations is an advantage.
• Working knowledge of Notion is an advantage.
• Ability to read and interpret architectural and interior drawings; AutoCAD or similar software experience is preferred.
• Strong organisational, coordination, problem-solving and communication skills.
• Ability to independently track project requirements, timelines, documentation and site activities.

Work Schedule

• Location: Girgaon, Mumbai
• Working days: Monday - Friday (10:30 AM - 6:30 PM)
