Project Management Consultant — PMO Architect (Remote, Part-Time, 6-Month Project)

Prosoma is scaling. As we grow, we want to build a strong, consistent project management backbone across the entire organisation — spanning every layer from leadership to operations (roughly 25 people at each layer) and across our four core functions: Sales, Marketing, Product and Technology .

We are looking for a seasoned project management consultant to design and embed this structure working directly with out group CEO. This is a build-it-from-the-ground-up assignment: you will define the standards, rules and routines that will keep a fast-growing, cross-market company aligned and efficient.

• Assess our current ways of working across Sales, Marketing, Product and Technology, and identify gaps, overlaps and bottlenecks.
• Design a company-wide project management framework that works consistently across every organisational layer, from management to operations.
• Define clear standards, governance rules and operating routines — cadences, rituals, roles and responsibilities, escalation paths and decision-making flows.
• Establish practical tools, templates and reporting structures (planning, tracking, status reporting, resource and dependency management).
• Introduce fit-for-purpose methodologies (Agile, hybrid or otherwise) tailored to each department's reality rather than a one-size-fits-all model.
• Set up meaningful metrics and KPIs so leadership has clear visibility into progress and health.
• Coach and enable team members and managers so the new structure is adopted, understood and sustainable after the engagement ends.

• A documented, company-wide project management framework and playbook.
• Department-specific operating routines and governance for Sales, Marketing, Product and Technology.
• A ready-to-use toolkit of templates, workflows and reporting dashboards.
• A rollout and adoption plan, plus enablement so the structure lives on independently.

• 15+ years of experience in project and program management, including designing or leading a PMO or company-wide PM function.
• Proven track record building project management structures from scratch — not just running projects, but defining how an organisation runs them.
• Deep, practical command of both Agile and traditional/waterfall approaches, and the judgment to know when to apply which.
• Experience working across multiple departments (ideally including product and technology) and scaling ways of working across a growing organisation.
• Comfortable operating in a fast-moving startup environment across international, multi-market teams.
• A confident communicator and coach who can influence senior stakeholders and bring people along with change.
• Excellent English (C1 or above) — clear, professional, open-minded communication is essential in our cross-cultural team.
• Able to maintain reliable working-hours overlap with European (CET) teams, with flexibility to connect with US colleagues when needed.

Required / strongly preferred:

• PMP (Project Management Professional) — or equivalent senior PM credential.
• Agile / Scrum certification — e.g. Certified ScrumMaster (CSM / PSM) or PMI-ACP.

A strong plus:

• SAFe (Scaled Agile Framework) or other scaled-agile experience — highly relevant for embedding standards across many teams and layers.
• Change management certification (e.g. Prosci / ADKAR) — this engagement is as much about change adoption as it is about process design.
• Lean / Six Sigma or other process-optimisation background.
• Familiarity with OKRs and modern goal-setting frameworks.
• Hands-on experience with tools such as Asana or Notion or similar.
• Exposure to regulated or digital health / medical software environments is a bonus, though not required.
• Experience in using Claude

• Type: Independent, project-based engagement (consultant / contractor).
• Duration: ~6 months.
• Commitment: Part-time — flexible schedule with agreed weekly availability - preferably 10-20hrs per week
• Location: Remote, based in India.
• Team: You'll work directly with leadership and department heads across Poland, Germany and the US.
