Front Desk Insurance & Financial Coordinator

Location: Staten Island, NY
Job Type: Full-Time

About the Position

We are looking for a Front Desk Insurance & Financial Coordinator to join our dental team. This position combines insurance coordination, patient financial management, payment processing, and front-desk patient communication.

The ideal candidate is organized, detail-oriented, comfortable discussing finances and insurance with patients, and able to follow through on outstanding claims and patient accounts. This is a patient-facing role where excellent communication and customer service are just as important as accuracy and follow-through.

Key Responsibilities

Insurance Coordination

  • Verify patient insurance benefits, eligibility, and plan details.
  • Create, update, and maintain insurance information in Open Dental .
  • Submit accurate and complete dental insurance claims and required attachments.
  • Monitor unsubmitted claims, outstanding insurance accounts, and procedures that have not been billed.
  • Research and resolve claim denials, corrections, and outstanding insurance issues.
  • Prepare and manage insurance predeterminations, including required attachments, corrections, appeals, and follow-up.
  • Submit insurance claim appeals and corrections when necessary.
  • Answer patient questions regarding dental insurance benefits and coverage.
  • Maintain accurate insurance information and communicate changes to the appropriate team members.

Financial Coordination

  • Track and follow up on patient accounts receivable.
  • Post insurance, patient, and financing payments accurately.
  • Verify available patient financing options and communicate those options to patients.
  • Present and execute financial treatment plans.
  • Send patient statements through approved methods, including paper, text, and email.
  • Communicate with financing companies and assist patients with financing-related questions.
  • Follow established procedures for outstanding accounts and collection activity.

Front Desk & Patient Experience

  • Communicate professionally with patients by phone, text, email, and in person.
  • Provide a welcoming and professional patient experience.
  • Assist with scheduling, rescheduling, appointment confirmations, and appointment-related communication as needed.
  • Provide and review new-patient forms and request updates to health-history information when appropriate.
  • Coordinate patient records being sent to or received from specialists and other dental offices.
  • Assist patients with treatment scheduling and follow-up on unscheduled treatment.
  • Participate in team huddles, meetings, training, and ongoing practice development.
  • Maintain HIPAA compliance and protect patient financial and personal information.

  • Experience with dental insurance and dental practice management software is highly valued.
  • Experience with Open Dental is a plus.
